POSITION SUMMARY: The successful candidate will be responsible for the following duties: Manages and oversees day-to-day constituency services and support activities for the Chancellor. Serves as representative of the Chancellor in matters of communication, many of which require independent research and judgment. Provides backup to the Executive Leadership Team and interacts heavily with senior management throughout the organization, as well as the Board of Trustees. Daily campus and Studio communication and coordination about projects related to South University marketing. The incumbent must assure that the South University philosophy: quality services to students; development, growth, involvement, and recognition of faculty and staff; sound economic principles; and environment which is conducive to innovation, positive thinking and expansion is considered in carrying out the duties and responsibilities of this position.KEY JOB ELEMENTS:
- Provides direct assistance to the Chancellor in confidential matters, and in communicating with internal and external constituents.
- Assumes responsibility for designated duties and tasks with minimal supervision and oversees general office operations.
- Drafts correspondence and writes and coordinates reports for the Chancellor as needed.
- Independently researches, prioritizes, and follows up on multiple incoming issues and concerns addressed to the Chancellor's office, including those of a sensitive and/or confidential nature; determines appropriate course of action, referral, and/or response.
- Provides direct support to the Chancellor by organizing meetings, coordinating research and data collection, distributing agenda and reports and producing minutes.
- Provides occasional support to university administration.
- Carries out all delegated tasks with integrity, consistent application of policy and prudent use of authority.
- Greets visitors in the office and coordinates hospitality as needed.
- Maintains institutional and office file systems.
- Maintain university organization charts.
- Strategic Planning Mid-year reviews/Quarterly Program Review Planning.
- Internal communications – draft and disseminate on behalf of UA as needed.
- Manage communication and projects between campus marketing requests and Studio – ensure funding, priority and on-time delivery.
- Daily content sharing between every South location and Studio, including campus news, events, profiles and community projects.
- Support the development of collateral, presentations, give-away items and branded merchandise for student, employee and community engagement.
- Inside South calendar content updates.
- Coordinate the development of Corporate Education Partner's Landing Page, flyers, and other collateral to support the partnership in yielding future students.
- Manage systems such as Meltwater, Airtable, Drop Box, that facilitate information sharing between South and Studio Enterprise Marketing.
- Participate and/or lead collaborative discussions between campus and Studio marketing in effort to facilitate the exchange of ideas, information and clarifying deliverables.
- Other duties as assigned.
- Bachelor's degree with five years formal administrative experience required.
- Excellent computer skills in Microsoft Office suite
- Extensive knowledge of a variety of software including, but not limited to, Microsoft Office, SharePoint and Visio
- Must have commitment to diversity, enthusiasm for administrative tasks
- Excellent communication skills, sound judgment and discretion, understanding of complex organizations and very strong writing skills.
- Ability to work well under pressure.
- Ability to handle multiple, simultaneous complex tasks and projects.
- Ability to research and analyze information.
