Description/Job Summary

This position is not a remote position; however, may require telecommuting on occasion and the incumbent must have the capability to work remotely.

The Office Specialist is responsible for providing excellent customer service assisting a diverse student population via face to face, phone calls, and emails. The Office Specialist will assist students and parents through the financial aid process and help them understand their funding options, verification documents, and assisting with the FAFSA. The Office Specialist answers general financial aid questions for students and works to resolve any obstacles to the student's progress. The Office Specialist must possess critical-thinking skills and use a variety of communication methods to guide and encourage students through the financial aid process. The Office Specialist must build and foster relationships with students to support their educational goals. This position is not a remote position; however, may require telecommuting and the incumbent must have the capability to work remotely occasionally.

Responsibilities/Duties

Position Duties:

  • Works with students on a one-on-one basis to provide financial aid information
  • Assists students and parents in completing FAFSA applications and other materials
  • Contacts students about missing/incomplete documents
  • May assist students with completion of forms as needed
  • Provide continued support and education to students and their parents on topics related to Financial Aid, including, but not limited to Title IV Federal Financial Aid eligibility
  • Manages phone calls and emails to ensure financial aid file completion
  • Follows up on document/student action requests to ensure accurate timely receipt of financial aid information
  • Document student communications in student information system including, but not limited to email, phone calls and meetings.
  • Assists in other phases of financial aid and student support, as necessary
  • Maintains accurate office records and files
  • Seeks out opportunities to enhance the student experience and promote high-quality service
  • Remains flexible to daily workflow and task changes as a result of staffing needs, increased volume, or service
  • Proactively communicates feedback and trends to management
  • Adheres to Financial Aid laws, regulations, policies and procedures, and compliance requirements
  • Meets department quality and productivity metrics
  • Works as a liaison between staff and students to ensure optimal student experience and processing times
  • Performs a variety of clerical support duties related to assigned activities such as maintain financial aid accounts and records
  • Works collaboratively with other departments, as needed
  • Performs other duties as assigned
Required Qualifications


Minimum Qualifications:

  • Certificate in office administration or business related field
  • 2-3 years in customer service, financial aid, or office environment
  • Experience in supporting students from diverse backgrounds
  • Able to effectively and professionally communicate with a diverse group of students, staff, faculty, and the community in a service-oriented environment
  • Strong office skills and ability to prioritize and complete simultaneous tasks
  • Ability to maintain confidentiality and use discretion at all times
  • Strong verbal and written communications skills
  • Effective interpersonal communication and listening skills
  • Aptitude to think critically and solve problems
  • Ability to utilize multiple systems in transition between tasks
  • Working knowledge of Microsoft Office products, including Excel, Outlook, Word, Access, and PowerPoint
  • Solutions and detail-oriented
Preferred Qualifications


Desired Qualifications:

  • Evidence of an Associate degree or comparable education and experience
  • 3-5 years demonstrated knowledge of financial aid policies and procedures
  • Experience in Federal and State regulations, guidelines, and related procedures
