Position Details
The Feminist, Gender, and Sexuality studies program ( FGSS ) is administered by the chair and other members of the program’s core faculty. Core faculty are those who are actively involved in the program, who teach FGSS courses, advise FGSS majors and senior theses, and may serve as program chair. The program sponsors an annual symposium, the FGSS Salon, and the Diane Weiss Memorial Lecture.

Reporting to the chairs of the Feminist, Gender and Sexuality Studies and Science in Society programs, the administrative assistant is responsible for providing administrative support to the faculty and programs and managing the daily operations of the office.

Responsibilities include:
  • Assist with the preparation of reports and grant proposals; write correspondence and memorandums; create flyers, brochures, newsletters.
  • Maintain confidential files for faculty, departments, and programs.
  • Provide support for faculty searches, tenure and promotion cases, external reviews, colloquia and special projects as needed.
  • Maintain databases, mailing lists, and calendars; generate reports, organize meetings, manage official correspondence and procedures; and provide reception for the department.
  • Assist with the coordination and logistics for all student and program events to include scheduling, publicity, room reservations, travel and catering arrangements.
  • Manage/reconcile program pcard; submit timesheets, A/P vouchers, travel reimbursements and other financial transactions as needed.
  • Assist in compiling course offerings using the Curriculum Development System; liaison with departmental staff to manage cross-listings; edit material for course catalog and university publications.
  • Assign advisors to student majors, update and maintain confidential student records. Liaison with the Corporate, Foundation and Government Grants office and Grants Accounting office on internal and external grant deadline dates, submissions and decisions, extensions and end reporting.
  • Assist faculty with the development of budget preparation, data compilation, expense forecasting, personnel needs, etc., during the grant preparation/submission process.
  • Monitor fiscal activities of grant funded projects and conduct analysis to identify/report on financial status of projects including compliance, forecasting, and project shortfalls.
  • Update and maintain website.
  • Manage the scheduling of the FGSS lounge and serve as steward of this space.
  • Manage social media for content for FGSS and SiSP.
  • Hire, train and supervise student workers.
  • Perform other duties as assigned.

Continuation of the 1.0 FTE will be contingent on future funding for this .75 FTE position. As a 1.0 FTE the position works 37.5 hours/week during the academic year (46 weeks) with reduced hours during the summer. This position is in the secretarial/clerical bargaining unit.
Minimum Qualifications
Associate Degree and four years related experience or an equivalent combination of education, training and experience.
Demonstrated expertise in Word, Excel and Email.
Previous budget management experience.
Previous experience using webpage management applications.
Experience with social media platforms.
Proven ability to manage multiple tasks and demonstrated attention to detail.
Demonstrated commitment to work within a diverse environment and interact openly with individuals of different backgrounds.
Strong organizational skills.
Effective communication skills.
Preferred Qualifications
Experience in higher education.
