Title: Development Coordinator, Office of Medical Annual Giving

Reports to: Sr. Associate Director (Data), Office of Medical Annual Giving

Position Summary: The Administrative Coordinator is a key team member in the Office of Medical Annual Giving (OMAG). He or she manages responsibilities that are integral to the operation of a successful annual giving campaign, working with internal and external vendors to oversee and facilitate the processing of 12,000 to 15,000 gifts per year for Johns Hopkins Medicine, and directly entering approximately 2,000 gift per year.

The role also provides reliable, professional support to the entire Office of Medical Annual Giving, managing calendars and responding to queries to our general phone and email accounts. He or she conducts key aspects of the annual giving solicitation program and assists in serving the OMAG’s clients.

Specific Responsibilities:

  1. Gift processing and fulfillment 60%
  • Process all gifts received at OMAG within 48 hours of receipt.
  • Communicate regularly with internal staff and external vendors to ensure inclusion of all elements for each gift: account numbers, associated/joint with donors (including IMO/IHO), mailing address, phone number, email address, appeal codes, etc.
  • Work with internal staff to create new accounts and donor records as needed.
  • Perform regular audits of gift entry into ALADIN to ensure high-quality processing at Office of Advancement Services (OAS) and our caging house vendors; Submit corrections/edits to gifts as needed.
  • Office Management 30%
    • Answer main OMAG phone line, update ALADIN and MedDev as needed, and respond to or direct inquiries.
    • Answer and maintain FJHM opt outs through both phone and email. Apply updates in ALADIN and MedDev, and respond to or direct inquiries
    • Manage OMAG Director’s Calendar schedule team/major meetings.
    • Sort and distribute incoming mail
    • Apply postage to and send outgoing mail.
  • Administrative 10%
    • Assist with production of in-house specialty mailings.
    • Assist with other administrative duties as assigned.
    • Support professional growth, skills development and career development by using DAR and University resources and training.
    • Participate in appropriate departmental and client-based meetings.
    • Maintain OMAG’s account spreadsheet matrix. Communicate regularly with other Development Office (DOFF) coordinators to ensure that account information on file for OMAG is accurate, and disseminate that information to external and internal gift processors.

    Qualifications:

    • Minimum of three years relevant experience required. High School Diploma or GED required. Bachelor’s degree or commensurate work experience preferred. Additional education may be substituted for years of work experience.
    • Ability to work independently, manage multiple projects simultaneously, determine priorities, and maintain a high degree of professionalism and confidentiality.
    • Possesses excellent interpersonal skills and enjoys team work.
    • Demonstrates strong organizational skills and ability to manage several projects simultaneously.
    • Possessesexcellent word-processing and database management skills; significant PC experience and a thorough working knowledge of Windows, Word and the internet (knowledge of Excel, Access and PowerPoint are preferred);and the ability to learn new software.
    • Able to work in a dynamic, fast-paced environment.
    • A strong desire to associate with Johns Hopkins University and to champion the mission and values of the institution.
    • Must be able to sit for eight hours.
    • Must be able to lift 25 pounds.

This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
