Senior Records & Registration Specialist

Description/Job Summary

The Senior Records and Registration Specialist assists in planning, organizing, and coordinating the registration and records functions of the college. An employee in this class assists in the formation, revision and implementation of office procedures. This position supports and assists other personnel assigned to the records and registration office.

Responsibilities/Duties

Communication (Oral and Written)

  • Understands Office of the Registrar language/terminology to meet the needs of staff and customers
  • Able to prepare spreadsheets when assisting with data


Customer Service

  • Provide great customer service to students, staff, and faculty; help with registration and records information for students, staff, and the public
  • Demonstrate polite, helpful, and knowledgeable attitude to promote a positive image of the department
  • Respond daily to email or calls regarding concerns with transfer credit and degree audits
  • Provide timely assistance to registrar and associate registrar


Manage Work Processes

  • Help students in achieving registration goals via the Virtual Help desk, by phone, or in person
  • Analyze and process student record information
  • Evaluate, transcripts to determine academic credit and eligibility for degree completion., records, and. Prepare accurate student progress reports.
  • Update/maintain transfer credit articulation tables
  • Process degree audits to determine graduation requirements
  • Maintain records of college classes and curriculum prerequisites and certify graduation eligibility is met
  • Input and update data; verify accuracy of data; collaborate with other departments to identify, troubleshoot, evaluate, and resolve program issues or problems with the Student Information System
  • Process course substitutions and degree exceptions with academic and data integrity
  • Prepare list of candidates for the graduation ceremony and for the college’s Board of Trustees
  • Assist the Registrar in training college staff on the degree audit process
  • Assist with Banner Degree Works implementation


Attention to Detail

  • Key transcript and degree information in Student Record System
  • Audit data to ensure completeness and accuracy

  • Treat team members with respect and understanding
  • Help with special events such as graduation ceremony and Admissions recruitment activities (on-site transfer credit articulations)
  • Help students in achieving registration goals via the Virtual Help desk, by phone, or in person
  • Other related duties as assigned.
Required Skills

Knowledge, Skills, and Abilities:

Knowledge of:

· Post-secondary curriculum;

· Sound recordkeeping practices;

· Academic policy, procedures, and processes;

· Laws, regulations, and guidelines with respect to Admission and Records regulations;

Skills in:

· Transfer credit evaluation;

· Graduation evaluation and degree auditing;

· Computer operations;

· Developing and delivering training on transfer credit, credit for prior learning, student privacy, and graduation policy.

Ability to:

· Work with diverse academic, cultural, and ethnic backgrounds of community college students and staff;

· Work independently and prioritize tasks;

· Defuse an emotional or tense situation and offer viable solutions;

· Analyze and communicate technical and academic information in a clear and understandable manner;

Required Qualifications

Minimum qualifications: Bachelor’s degree

Preferred Qualifications

Preferred Qualifications:
Two to three years of work experience of transfer credit evaluations and degree auditing work experience and working within the Office of the Registrar and/or Student Affairs.
Strong, positive customer service approach when working with internal and external customers;

  • Great oral and written communicative skills;
  • Detail oriented and accurate
  • Able to work independently as well as within a team to achieve results;
  • Able to multi-task in a fast-paced, dynamic environment;
  • Proficient in Microsoft Word and Excel;
