Under the direction of the Executive Office Operations Director, the Executive Events & Program Coordinator supports the Vice President for Health Science & Technology of Virginia Tech, and the Executive Director of the Fralin Biomedical Research Institute, coordinating educational and scholarly programs, management of special projects, events, and initiatives while also contributing to continuous improvement by working in conjunction and cooperatively with the Executive Director, and other institute stakeholders. As part of these duties, the Executive Events & Program Coordinator will have the skills and experience to effectively and diplomatically work directly with nationally internationally prominent guests and their senior administrative staffs to extend invitations, coordinate visits and address associated challenges and changes as necessary.

Primary responsibilities include:
- Interacting with a wide range of organizations, Advisory Board members, University, and Roanoke community executives and officials, FBRI research team leaders and members, visiting dignitaries and speakers, and candidates being recruited.
- Managing multiple seminar programs with nationally and internationally recognized distinguished guests.
- Providing planning and coordination for faculty retreats, meetings and special events, developing agendas and coordinating materials as necessary.
- Providing project administration and assistance on a variety of special projects.
- Management of contact database and supports other programmatic activities in support of program optimization and other strategies.
- Managing of FBRI faculty appointments in the School of Medicine.
- Provides planning and onsite assistance for individual and group meetings, candidate visits and itineraries, developing agendas and coordinating materials as necessary.

Required Qualifications

- Bachelor’s Degree required, Master’s preferred, with related administrative experience in higher education (or equivalent combination of education and experience).
- Exceptional interpersonal, communications, organizational, analytical, writing, and editing skills, including the demonstrated ability to draft presentations, reports, correspondence, etc.
- Exceptional skills in dealing with high level accomplished academic and scientific leaders in a politically adroit manner, serving as an effective ambassador for Virginia Tech Health Sciences and the Fralin Biomedical Research Institute.
- Demonstrated experience communicating clearly, effectively, and diplomatically with diverse constituencies.
- Demonstrated ability to exercise excellent judgment and discretion when working with confidential and sensitive information.
- Demonstrated ability to prioritize multiple competing demands.
