Senior Coordinator, Program Management



Summary

The Senior Coordinator, Program Management provides direction, leadership, and day-to-day management of educational and departmental activities to include administrative support to the directors of the fellowship training program and chief fellow; and educational coordination between attending physicians, fellows, residents, medical students and institutional and regulatory administrative offices.

The coordinator must demonstrate initiative, resourcefulness, and problem-solving skills in applying a detailed knowledge of the responsibilities, functions, and underlying management structure of the department and of the larger institution in organizing and independently prioritizing work, establishing procedures and systems, and ensuring orderly and timely workflow.

Job Purpose

The purpose is to provide primary administrative support, coordination, supervision, and ensure compliance in graduate medical education responsibilities, policies, and procedures. The coordinator also provides support to the fellowship program and program leadership and functions as the first contact liaison to fellows, faculty, and college administration, manages PHM fellowship onboarding, orientation, recruitment, and graduation, and serves as the education coordinator for the section of Pediatric Hospital Medicine.

Job Duties
  • Administration, coordination, and supervision of graduate medical education (GME) program for fellows and general administrative duties.
  • Ensure fellow compliance with established Accreditation Council for Graduate Medical Education (ACGME), GME, and program policies and procedures.
  • Prepare, manage, and coordinate internal GME and national ACGME-conducted accreditation site visits for PHM Fellowship Program.
  • Maintain web-based ACGME accreditation surveys, including collecting and collating appropriate information from various sources throughout the campus.
  • Compile and submit reports to ACGME, American Board of Pediatrics, American Academy of Pediatrics, American Association of Medical. Colleges, AMA, and other professional organizations as required and under the direction of the program directors.
  • Programmatic Support and Development
  • Initiate and manage fellowship program budget and coordination of pre-trip authorizations and reimbursement requests with PHM administrative staff.
  • Serve as a liaison and communicate with all appropriate campus offices and affiliated hospitals as well as program director and pediatric staff.
  • Coordinate the American Board of Pediatrics PHM in-training examination when applicable.
  • Assist with scheduling, preparation, management, and maintenance of minutes when applicable for all program meetings including the Program Evaluation Committee, Clinical Competency Committee, Individual Feedback Meetings, Group Feedback Meetings, Scholarly Oversight Committee Meetings, and Mentor Meetings.
  • Provide administrative support to PHM Program Directors, including scheduling of meetings, preparation of agendas, recording, maintaining meeting minutes, and managing the program directors’ calendars.
  • Assist in compilation of requests and complete master clinical schedule for all fellows (incorporate conference schedules into fellow master schedule).
  • Assist in creation of fellow conference schedule.
  • Serve as the lead coordinator for internal program electives including Introduction to Individualized Curriculum, Scholarly Work Introduction, and Advanced Scholarly Work.
  • Assist program director in program development appropriate to fellowship program requirements.
  • Assist with evaluation distribution, reports, and management in MedHub.
  • Assist with faculty education and development including distribution of staffing policies and evaluations, dissemination of evaluation data, other support as required.
  • Participate in departmental and national program coordinator development (including Association of Pediatric Program Directors and Pediatric Hospital Medicine).
  • Administration, coordination, and organization of fellow recruitment.
  • Assist with fellow onboarding.
  • Assist with fellow orientation and onboarding.
  • Assist with fellow graduation.


Minimum Qualifications
  • High School diploma or GED.
  • Four years of relevant experience.

  • Bachelor's degree
  • Must be organized and have attention to detail
