The Graduate Academic Advisor is one of two advisors in the Graduate Programs Office at the Newhouse School. The office is overseen by the Assistant Director of Graduate Programs and the Associate Dean for Professional Graduate Studies. This office is responsible for supporting graduate students in 10 on-campus master’s degree programs, two online master’s degree programs and one doctoral degree program from the inquiry phase through degree certification. Each Academic Advisor manages academic records as well as financial award records for approximately 120 students. The Academic Advisor is the main point of contact for current students and advises and assists with all graduate academic procedures, ultimately certifying degrees.


Bachelor’s degree and three to five years of student-facing education experience or other relevant experience.

Job Specific Qualifications

Maintain knowledge of requirements for multiple programs and both School and University policies and procedures. Utilize excellent oral, written, and public presentation skills. A commitment to diversity, an appreciation for working with diverse populations, and dedication to fostering an inclusive community is required. Strong interpersonal and communication skills as well as highly collaborative nature and proven ability to work as part of a team. Ability to adapt to different populations such as prospective students, current students, alumni, faculty, and other staff. Dedication to high professional and ethical standards for handling confidential information. Committed problem solver. Must be organized, able to multi-task, and be detail oriented.


Maintain student records across a variety of graduate programs. Utilize University’s SIS software to check on registration, forms, program of study progress, and complete degree certification. Facilitate all academic paperwork and obtain necessary approvals from faculty and program directors. Assign student groups, subplans, and process transfer credit. Coordinate with Registrar, Graduate School, Center for International Services, and other offices as needed.

Advise graduate students on all academic policies and procedures. Establish regular communication with students regarding registration deadlines, graduation deadlines, and their degree progress. In conjunction with program directors and associate dean, devise solutions for students who are not making adequate progress. Research and advise long-absent students on remaining requirements to complete degree.

Award merit fellowships and scholarships by sending documents to Graduate School Awards unit. Adjust scholarships as needed. Create and send instructional associate appointment letters to students. Complete hiring forms for Budget Office. Coordinate hiring process for unfilled instructional associate positions and other graduate student jobs at Newhouse.

Work with Ph.D. admissions committee and schedule applicant visits. Provide orientation and onboarding assistance to new Ph.D. students. Support Ph.D. students with qualifying exam scheduling and dissertation paperwork and scheduling. Process teaching assistant and research assistant paperwork.

Coordinate with other office staff on the planning and execution of orientation session for new students. Plan and execute other summer social events for new students. Create and send series of email communications to incoming students.
