The Department of Modern Languages and Literatures seeks aSr. Academic Program Coordinator to organize and coordinate all aspects of the academic programs and functioning of the Department as well as be responsible for the five graduate programs (French, German, Hebrew & Yiddish, Italian, Spanish & Portuguese)

Specific Duties & Responsibilities:

Graduate program responsibilities include tracking the progress of graduate students from the admissions process through graduation. Duties include, but are not limited to:

  • Coordinate of the Department’s graduate student admissions process for each of the five graduate programs
  • Complete and submit visa paperwork as necessary for international visitors and students
  • Prepare list and spreadsheet of graduate student applicants
  • Coordinate and schedule the visiting days for recruitment, including welcome advising packets
  • Coordinate and schedule of all of the orientation programs
  • Coordinate and schedule of the several annual graduate conferences
  • Control of the logistics of students on their year-abroad research year
  • Track student progress through the various degree programs from matriculation to graduation
  • Coordinate DGA (departmental graduate aid) submission and updates, working with Student Accounts
  • Schedule ABD and dissertation defenses
  • Ensure that students’ completion of all Department and University requirements are properly administered and recorded
  • Maintain and update the graduate student handbook (which requires coordination with the legal officers of the university); keep historical statistics and maintaining the MLL archive of graduate files
  • Represent the Department at Graduate Board, Graduate Admissions, and Registrar’s Office meetings
  • Responsible for handling Department publicity and outreach, including maintaining the MLL website.
  • Routine contact with faculty to ascertain desired updates
  • Perform updates to faculty information
  • Perform updates to each of the program's information (majors, minors, study abroad, PhD requirements and schedules)
  • Maintain (up to date) the calendars of events for each program and for the MLL Department announcements for each of the programs (French, German, Hebrew & Yiddish, Italian, Spanish & Portuguese, and the Center for Advanced Media Studies)
  • Update (in the timeliest manner) the lists of courses for each section for each semester
  • Update graduate recruitment information
  • Other related duties

Minimum Qualifications (Mandatory):

  • High School diploma or GED equivalence.
  • Five years of progressively responsible administrative academic experience
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Preferred Qualifications:

  • Bachelor's Degree preferred.
  • Experience in a humanities academic setting is strongly preferred.

Special Knowledge, Skills, and Abilities:

  • Excellent computer skills (Word, Excel, email, Adobe Acrobat Pro, DGA, SIS, SharePoint, Slate, and internet research).
  • Excellent interpersonal, oral, and written communication skills.
  • Microsoft Office suite
  • Knowledge of updating Department’s website
  • Requires a highly organized person, able to multitask and pay close attention to detail
  • Requires the ability to work with flexibility on several tasks simultaneously and meet concurrent deadlines
  • Must be able to work effectively with students and all levels of faculty, staff and administration within the University, as well as external contacts, including alumni and parents
  • Must be able to use independent judgment in resolving administrative issues, prioritize tasks, and maintain confidential and sensitive information including FERPA
  • Must be able to exercise diplomacy and interact professionally with Department faculty and staff as well as with other University departments and offices
  • Excellent oral, written and interpersonal communication skills are required
  • Ability to work as a team member and independently work while prioritizing tasks and deadlines
  • Ability to maintain strict confidentiality, exercise diplomacy, use independent judgement in resolving related issues, and professionally interact with internal and external customers

  • Able to lift general office supplies, copy paper boxes ~20 pounds)

Starting Salary Range: $19.82 to $27.26/hr (commensurate with experience)

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
