Based in New York City and reporting to the Executive Director, Alumni Engagement in NYC, the Alumni Engagement Coordinator provides event, communications, and administrative support for the Executive Director, Alumni Engagement.
The position provides staffing and logistics support for all alumni events and programs, both virtual and in-person, taking place in the New York Region, and assisting with scheduling and coordinating engagement programming with other departments/units. Support for these events may include all aspects of event planning including: conceptualization, venue scouting, invitation design, guest list management, run of shows, briefings, bio sketch reports, as well as on-site execution of event under the direction of the Executive Director. Additionally, this position will assist with major events on campus including, but not limited to, Orange Central – Syracuse University’s Homecoming and Reunions.
This individual under the direction of the Executive Director, Alumni Engagement in NYC will build program invitations via Anthology, update and maintain the nyc.syr.edu website, and SU in NYC social media channels. The candidate will actively participate in meetings with the OAE staff, NYC team, and others. Additionally, the candidate will be responsible for reconciling business expenses, maintaining office supplies and records, and making travel arrangements. This individual will develop strong collaborative relationships with Syracuse University’s alumni, friends, students, family, and NYC /campus colleagues.

Qualifications

• Bachelor’s degree or equivalent combination of education and minimum 1 year of work experience
• Higher education, digital communications, administrative, and/or development experience is preferred

Job Specific Qualifications

• Expertise with Microsoft Outlook, Word, Excel, and PowerPoint

Responsibilities

• Assist the Executive Director with event conceptualization, planning, and execution as well as correspondence as needed
• Maintain accurate files relating to event planning and engagement activities including guest lists and metrics
• Assist the Executive Director with documentation needed for programs including briefs and runs of show involving University Leadership and guest alumni speakers
• Create invitations via Anthology/Citrus including email promotions for events and programs and interface with our campus colleagues with proofing and scheduling send dates
• Maintain and update SU in NYC social media channels. Increase the visibility for SU in NYC social media
• Source news and generate content to advertise events for SU in NYC
• Create content, update, and maintain nyc.syr.edu website.
• Track progress and develop online marketing awareness of Syracuse University’s presence in New York City
• Provide administrative support to the Executive Director
• Coordinate calendars and act as front-line interface with alumni both via phone and in-person
• Coordinate all departmental correspondence
• Make all travel arrangements adhering to SU travel policies
• Timely prepare and submit all financial reimbursements, reconcile travel expense reports, and reconcile credit card statements
• Maintain office supplies and collateral material for NYC Alumni Engagement office
• Maintain CITRUS and Anthology updates for communications and events including submission of event attendance, event speakers, and volunteers
• Maintain Blackbaud updates and assist with data input and research and inquiries related to alumni
• Work directly with Central OAE Team members, as it relates to consistent event tracking, scoring, and data collection
• Serve as a representative of Syracuse University among internal and external communities
• Provide staffing support for events taking place in the region, which includes travel in the tristate region, and evening/weekend support of events
• Travel to main campus for retreats, meetings, trainings, and to assist at Orange Central (Homecoming and Reunions combined)
