Job Details

The Department of Cancer Immunology/GI Clinic Research is seeking a Senior Administrative Coordinator who will support the mission of the Department by providing complex administrative and project support to the Deputy Director and ensuring the smooth and efficient operation of the Deputy Directors office. Will provide assistance to the Deputy Director and Cancer Convergence Team with a wide range of external and internal high-level professionals. Will deal regularly with highly sensitive, privileged and confidential subject matter.

Specific Duties and Responsibilities:

  • Independently manages the Deputy Directors calendar: organizes high level meetings, makes appropriate arrangements for meetings, compiles and prepares materials, confirms meeting details, assists with communication and other details as needed, prioritizes meeting requests and response times.
  • Coordinates grant submission for the Deputy Director and fellows, includes timely submission of grant applications to the sponsor via ASSIST, grants.gov, or other electronic or paper means.
  • Coordinates travel for national and international meetings.
  • Arranges multicenter collaborative conferences. Acts as the meeting planner, including technical assistance with teleconferences and webinars, prepares materials, slides, etc.
  • Assists with publication submissions, PubMed, etc.
  • Prepares and edits correspondence for the Deputy Director.
  • Places purchases orders, processes expense reports and reimbursements using SAP.
  • Assists with special event planning for the Division.
  • Reconciles grant expenses to budget and communicates budgetary changes to the appropriate people.
  • Represents the division as appropriate in communicating professionally with faculty, administrators, and external contacts.
  • Performs miscellaneous related duties as assigned.

Minimum Qualifications (Mandatory):

  • High School Diploma / GED with 5 years progressively responsible administrative experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Special Knowledge, Skills, and Abilities:

  • Excellent communication, presentation, and interpersonal skills required. Ability to express ideas clearly and logically and undertake independent problem solving.
  • Expertise in SharePoint, PowerPoint and Excel for presentations and analyses.
  • Ability to interact with diverse groups of people within the institution and from outside agencies.
  • Ability to organize and manage multiple competing priorities and to meet deadlines.
  • Ability to multitask and build consensus within a complex and diverse organizational structure.
  • Possesses strong networking skills to work with outside agencies, advocacy groups, and other related organizations.
  • Ability to successfully problem-solve challenges as they arise.

Role/Level/Range: ATO 40/E/03/OF
Starting Salary Range: $19.82 - $22.27/hr (commensurate with experience)
Employee group: Full Time

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
