Job Summary  

Provide promotional, administrative, performance assessment, and financial/accounting services in support of assigned program(s) within a research center, academic unit, or other campus units of a school. These functions may encompass a variety of activities related to program success including coordination of program marketing, program administration, program operations, and program development. This position will interact on a consistent basis with: research, academic and administrative management and staff with a school or center and across campus, vendors and sponsors. Responsibilities  

Job Duty 1 -
Design/develop promotional and marketing materials to include those developed for specific target audiences in support of program outreach efforts.

Job Duty 2 -
Plan, schedule and coordinate promotional events.

Job Duty 3 -
Coordinate administrative activities associated with program operations such as procurement, records maintenance, compliance, meeting arrangements and minutes, and document preparation.

Job Duty 4 -
Develop, analyze, reconcile and report financial data related to program operations.

Job Duty 5 -
Develop and maintain performance assessment tools applied in program review to measure and report progress.

Job Duty 6 -
Collaborate with internal and external entities to aid institutional or program support.

Job Duty 7 -
Perform other duties as assigned

Required Qualifications  

Educational Requirements
Bachelor's Degree or an equivalent combination of education and experience

Required Experience
Four to six years of job related experience

 

Preferred Qualifications  
    Preferred Education: Master's degree Preferred Experience: Clear ability to work with and mentor students individually and to advise them collectively in planning program activities and events such as retreats and a convention. Effective negotiation and communication skills, logistical skills with attention to detail, skills in general office administration to include document processing and management, records management, problem solving and office organization. Excellent written and verbal communication; ability to prioritize tasks and work independently and in a team environment. Experience reviewing high school or college admission files, resumes and/or employment applications. Experience with database software and applications such as Banner/Slate.
Proposed Salary  
    Salary will be in the $50,000 range up to $60,000 and is commensurate with experience plus benefits.  GT employees are bound to the USG/GT compensation policy.
Knowledge, Skills, & Abilities  

SKILLS
This job requires working knowledge of research program promotion and administration. Included are skills in development and administering program assessment tools, marketing, and financial analysis and reporting. Also required are skills in planning, organization, spoken and written communications, scheduling and customer service. Use of office and specialized computer applications and databases are required.

Other Information  

The Program & Operations Manager of Student Development and Events will plan events for undergraduate scholars (to include but not limited to Stamps President’s Scholars and Gold Scholars) and affiliates of the Office of Special Scholarships (OSS). The AD will coordinate the Stamps Scholars National Convention and oversee a student executive committee in planning the 600-person, 40-university event (occurring every two years). The AD will also promote and engage in student growth activities such as mentoring, professional and leadership development, service initiatives, and scholarly discussion. Duties for the AD include the evaluation of scholarship applications and interview feedback and coordination of office operations. The AD will report to the OSS Director.

Essential (Specific) Functions

    Manage logistics for four-day, 600-person, 40-school Stamps Scholars National Convention. Mentor scholars on professional development and goal achievement. Teach SPS First-Year Seminar (GT1801) each fall. Manage operations for the Office of Special Scholarships (OSS). Advise students planning 2nd or 3rd year retreats, as well as other program activities including the Stamps Convention (latter includes modest number of scholars at Stamps partner schools in addition to Georgia Tech scholars). Collaborate faculty/staff at other schools for Convention. Coordinate 500-person Scholars Weekend Banquet. Arrange catering requirements, facility set-up, parking, and other details as needed for OSS events. Coordinate attendee travel for some events. Manage processing financial transactions for various OSS events including the Stamps Convention and manage budget for Stamps Convention. Negotiate and communicate effectively with vendors. Supervise student assistants and manage payroll. Participate in selection efforts and assist with late spring recruitment.
    Nights and weekends expected consistent with a student affairs type position. Requires limited travel. The position also requires employees to use a high level of discretion and confidentiality regarding donor communication as well as scholarship candidate review process.
