Position Details

Job Title Advisor Clerk I Reports To and Evaluated by Required Qualifications

Associate Degree in General Studies with high level of written and verbal communication skills required to work in a multicultural environment. Ability to multi-task with frequent interruptions, excellent organizational skills and 2 – 3 years on word processing equipment in an educational office environment. Previous background in an academic advising setting. Basic knowledge of academic program descriptions, requirements, and procedures. Proficient in SARS Anywhere scheduling software and Ellucian Colleague UI 5.1. Demonstrated planning and organizational skills. Proficiency in written and spoken English.

Preferred Qualifications

Bachelor’s Degree in General Studies and experience working in an educational setting. Be well organized, detail-oriented, self-motivated and be able to work independently with little or no supervision. Demonstrate good judgment and the ability to work well with others in a multicultural environment. Bilingual (English/Spanish) a plus

Job Summary

The Advisor Clerk I will support the Director of Student Development work with other staff within the Academic Advising department and provide office support to the Placement Testing Center. The duties and responsibilities may change as the need of the college arises.

Specific Job Duties
  • Provide administrative support to the department Administrators and advising staff
  • Provide day-to-day office support including word processing, filing, answering telephones, appointments, processing mail, etc.
  • Maintain database of statistics for all students, assemble and compile statistics using databases and assist in preparation of reports
  • Process department invoices and vouchers
  • Assist students with pre-advising and program information
  • Maintain day-to-day functions of the front area of Advising and assist in training of part time staff
  • Maintain SARS Grid Scheduling software database. Process text messaging batches
  • Utilize ERP interface in assisting students, faculty and community residents
  • Serve as informational resource person for questions and problems for Academic Advising and Testing Center
  • Order and maintain an inventory of office supplies
  • Handle a wide variety of confidential information for departmental staff, faculty and students
  • Maintain all documents, files and records in the office
  • Provide customer service to students, faculty, staff or guests in the office
  • Schedule use of any facilities for meetings, class or related activities, equipment and refreshments as required by the department
  • Assist students with advising, testing, transfer concerns on the phone and as walk-ins
  • Assist with the planning and organization of New Student Orientations
  • Maintain a clean and organized lobby area with updated and current/proper advertisements.
  • Provide campus tours to student groups and prospective students when necessary
  • Pre-screen students for advising sessions
  • Provide information and assist students to complete registration steps
  • Perform other job related duties as assigned
