Position Summary: The assistant director of alumni and parent relations is responsible for planning and implementing initiatives to engage alumni and parents in lifelong relationships with the University of Puget Sound. As the chief staff liaison to Puget Sound parents, the assistant director provides staff leadership to the Puget Sound Parents Council and identifies, recruits, trains, stewards, and supports parent volunteers. The assistant director works closely with Admission, Annual Giving, Athletics, Career and Employment Services, Student Affairs, and other campus partners to support the work of the Puget Sound Parents Council, its working committees, and the broader parent body. The assistant director also plans and implements on- and off-campus events including Commencement, regional Summer Welcome Gatherings, and Homecoming and Family Weekend. The assistant director manages a portfolio of alumni volunteers, including committees of the Alumni Council and class reunion planning committees.

Essential Job Functions and Responsibilities:
  • With the director of alumni and parent relations, set the strategic direction for engaging Puget Sound parents in the life of the university.
  • Manage the Parents Program, serving as the first line of contact for parents and for campus partners working with parents.
  • Provide staff leadership, direction, and support for the Puget Sound Parents Council, identifying, recruiting, training, and inspiring parent volunteers to engage with the university and with one another in the areas of admission, athletics, career employment services, and regional programming.
  • Manage parent communications across the division, and facilitate partnerships across the university to promote coordination of parent communications generated from outside APR and OUR.
  • Manage a range of class reunion committees (35th, 40th, 45th Reunion classes), identifying, recruiting, training, and inspiring alumni reunion volunteers and working with committee leadership to facilitate class participation in quinquennial reunions; work closely with the annual giving liaison for these classes to ensure a collaborative approach to shared objectives.
  • Serve as the Office of Alumni and Parent Relations staff liaison to a portfolio of Alumni Council committees on as-needed/project-specific basis.
  • Provide staff leadership and administrative support for volunteer involvement in programming; work with and support volunteers as appropriate and provide the necessary oversight and follow-up to ensure successful and timely execution of relevant tasks.
  • Meet all recruitment and orientation goals set with the director of alumni and parent relations, including the number and categories of volunteers recruited and the number of face-to-face constituent visits made.
  • Manage and direct the planning for Commencement Weekend, meeting all attendance, implementation, and budget deadlines and goals.
  • With the director of alumni and parent relations, provide leadership and direction to the campus-wide Commencement Planning Committee, convening and leading periodic meetings of the groups throughout the year.
  • Plan, implement, and staff (as needed) regional Summer Welcome Gatherings to welcome incoming families to Puget Sound.
  • Manage and direct the planning for Homecoming and Family Weekend, meeting all attendance, implementation, and budget deadlines and goals.
  • With the director of alumni and parent relations, provide leadership and direction to the campus-wide Homecoming and Family Weekend Committee, convening and leading periodic meetings of the groups throughout the year.
  • Work with the director of alumni and parent relations to recruit faculty, university officials, and other administrators for involvement in programming and events; prepare appropriate briefings and other correspondence to support their participation.
  • Create detailed timelines and flowcharts for the various programs and events, outlining deployment, deadlines, and revenue/expense budgets; work with the director of alumni and parent relations to develop staffing plans to ensure adequate staff support for programs and events.
  • Serve as a member of the director of alumni and parent relations management team to formulate and assess progress towards short- and long-term strategic plans for the Office of Alumni and Parent Relations, as well as University Relations more broadly.
  • Other duties as needed.

Budget Responsibilities

Responsible for managing the Parent Relations (5060) and Commencement (5061) Program budgets, working with the alumni and parent relations office manager to obtain approval for and to process related expenses. Conduct monthly budget audits to monitor progress toward revenue and expense goals. This position has management oversight for the following budgets:

Minimum Requirements and Qualifications:
  • Two years of experience working in alumni relations, or an equivalent combination of education and experience in a related field, with a proven track record of volunteer management, as well as program management, development, and implementation
  • Ability to work and communicate effectively, orally and in writing, with a broad range of internal and external constituents including faculty, staff, students, alumni, parents, and friends of the university
  • Excellent organizational and planning skills as well as superior attentiveness to detail
  • Experience producing quality publications
  • Experience planning both small and large scale events
  • The ability to work independently, solve problems, handle confidential information, and navigate sensitive situations
  • Experience managing program budgets and expenses
  • Highly developed computer skills including experience with Word, Excel, and Powerpoint as well as constituent relations software such as Millennium
  • A bachelor's degree
  • Ability to respectfully work, communicate and provide leadership within a diverse campus community
