The Student Services Excellence Initiative (SSEI) Office was formed in 2016 to oversee the implementation of a multi-year student services improvement program. The Office works collaboratively across the University to support the development of strategies for, and implementation of, student services process, policy, organizational, and technological enhancements.

Student Services Excellence Initiative (SSEI) is seeking an Administrative Coordinatorwho will report to the SSEI Program Office’s Program Executive. This position provides high level administrative and project management support to the Program Executive and a group of two Program Managers and their teams in support of a major University-wide student services improvement project. The successful candidate will be able to collaborate with other members of the SSEI Office, communicate effectively, prioritize multiple tasks, take a proactive approach to work assignments, and be flexible. Having prior work experience in institutions of higher education is preferred.

Primary Duties and Responsibilities:

Scheduling and Administrative Support for SSEI (70%):

  • Manage the calendar of the Program Exec/Program Managers by effectively prioritizing requests for meetings and resolving scheduling conflicts
  • Coordinate meetings, focus groups, events, etc. across JHU’s nine major academic divisions
  • Schedule appointments, meetings, interviews, focus groups, events, etc. with consideration to scheduling priorities.
  • Track spending/invoices, keep records, and manage document/files
  • Complete additional administrative duties such as: processing reimbursements and other expenses, distributing meeting materials, regular office maintenance and upkeep of supplies, providing virtual support and facilitation for online meetings, and assisting with logistics (remotely for in-person events; on-site as needed)
  • Maintain document management for the SSEI project team: serving as keeper of file structure and myriad documentation of SSEI project activities

Scheduling and Administrative Support for Associate Dean of WSE Strategic Initiatives (30%)*:

  • Manage and coordinate meetings for the Associate Dean of Whiting School of Engineering for Strategic Initiatives, and direct reports
  • Schedule appointments and meetings with consideration to scheduling priorities
  • Process reimbursements and other expenses for the Associate Dean and direct reports
  • Project and event support for the Associate Dean

* note: the SSEI Program Director also currently serves as an Associate Dean for the Whiting School of Engineering Strategic Initiatives

Education and Experience:

  • High School Diploma/GED.
  • At least three years of related administrative experience required.
  • Additional education may be substituted for experience.

Preferred Skills/Experience:

  • Proven ability to multi-task, prioritize projects, and adhere to deadlines.
  • Strong organizational skills with an attention to detail.
  • Strong interpersonal skills and computer skills.
  • Discretion for confidential information.
  • Proven ability to work in a fast-paced, collaborative environment and respond quickly, creatively, and flexibly.
  • Strong computer literacy skills, specifically with Microsoft Office products (Outlook, Word, PowerPoint, and Excel).
  • Prior experience with SAP.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Starting Salary Range: $17.42 - $30.47/hr (commensurate with experience)

This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
