Title: Assistant Dean of Admission

Position Purpose:

Guided by the tenets of the Bates Mission Statement, the Assistant Dean of Admission serves as a member of the Admission team to recruit, admit, and enroll an academically talented and diverse class of students. Assist the VP/Dean of Admission and Financial Aid and Director of Admission in creating a workplace culture of collaboration, creativity, professionalism, data-driven decision-making, and fun.


Job Duties:

● Represent Bates at high school visits, college fairs, and other off- and on-campus recruiting events.

● Manage geographic territories as assigned; coordinate 4 to 6 weeks of travel per year; develop an annual plan and evaluate the effectiveness of each activity; recommend improvements and changes in strategy as appropriate.

● Work in pairs or as part of a team to evaluate first-year and transfer applications.

● Lead on-campus information sessions and conduct Interviews with prospective students; counsel families through admission and financial aid process; engage with key constituents such as alumni, current students, and high school counselors.

● Respond to concerns or inquiries from prospective students, parents, college/guidance counselors, coaches, alumni/ae, and other constituents.

● Contribute to the overall positive morale of the office and work with colleagues within Admission and across the College for the overall benefit of Bates.

● Attend designated conferences and/or other professional development activities.

● Events Team: Collaborate with Senior Associate Dean & Director of Outreach and Recruitment, Senior Assistant Dean & Campus Visit Experience Manager, Admission Office Assistant, and others to organize and plan all on-campus events -- Summer Open Houses (2), Fall Open House, Prologue to Bates (2), CBB Counselor Tour, MLK Day, Mount David Summit, Admitted Student Receptions, and Maine Day/Junior Open House

● Events - Prologue Coordinator: Work with the Events Team to organize and plan the fall diversity fly-in program; provide vision and direction for this program; update Prologue application; work with Senior Associate Dean & Director of Access, Senior Assistant Dean & Communications and Marketing Manager, and Director of Operations on communication strategy and timeline; chair committee to select finalists; support Admission Office Assistant on travel arrangements, meals, and overnight

● Yield - Bates Beginnings: Assist in the selection of admitted students to bring to campus for the Admitted Student Receptions; work with a team to plan travel arrangements, overnight accommodations, and other logistical details

● CBO Relations: Help the office in developing relationships with CBOs; assist Operations team in updating CBO contact info in Slate; Identify CBOs in each geo for deans and counselors to visit during fall travel season; review official partnerships with CBOs annually

● Coalition Application: Assist the Senior Associate Dean & Director of Diversity Enrollment in serving as the office liaisons to the Coalition; attend Coalition conferences and/or participate in membership webinars or conference calls to stay abreast of any changes or new policies; think creatively and strategically about how to leverage the Coalition platform as a way to provide access and raise awareness about the college admission process

● Transfer Coordinator: Serve as point person for all transfer inquiries; partner with Admission Counselor, Associate Dean, Senior Associate Dean, Director of Admission, and Dean of Admission & Financial Aid to evaluate, select, and yield 5-10 transfer students each year; ensure statistics, requirements, and deadlines are all up to date on our website and in publications; work with the operations team and student financial services to complete applications; partner with Registrar’s Office on transfer applicants’ credit evaluations

● International Recruitment Team: Recruit in and read applications from South Asia; serve on the international team to assist the Senior Associate Dean & Director of International Enrollment in recruiting talented applicants from around the world.

● Final Transcript Review: Review final grades of all enrolling students from territories; alert Director of Admission of any moderate or serious declines in grades

● Other duties as assigned by Director of Admission and/or Dean of Admission and Financial Aid.

Minimum Qualifications:


● Bachelor’s Degree required
● Valid driver’s license required


● 6-10 years of experience in admission or in a student/ customer service, academic, and/or non-profit setting are preferred but not required.
● Familiarity with the academic environment and higher education, preferably the liberal arts.

Skills and Knowledge

● Excellent communication (written, verbal, and presentation) skills.
● Excellent analytical and problem-solving skills
● Ability to work independently and handle multiple priorities with minimal supervision.
● Impeccable organizational (time, task, project management) skills and ability to coordinate resources and staff within the college community.
● Strong interpersonal skills (a sense of humor is a plus) with the ability to develop and maintain collegial relationships. Must be flexible, collaborative, and have a positive attitude.
● Genuine curiosity about the world, particularly higher education and issues of diversity and access.
● Proficiency in basic data management systems (preferably Slate) and basic computer applications (e.g., Word, Excel, PowerPoint).
● Willingness and ability to learn additional applications as needed.
● Ability and willingness to travel (by car, air, train, or bus) domestically for four to six weeks, concentrated in the fall and spring.
● Ability and willingness to work weekends, evenings, and other non-traditional schedules.
