Shenandoah University is accepting applications for a Receptionist position at the Wilkins Wellness Center. This is a full-time benefited position location on our main campus in Winchester, Virginia.

The Wilkins Wellness Center (WWC) is an ambulatory, acute-care facility which provides health care services to Shenandoah University students and other members of the university community. The receptionist will assist the operations manager with daily activities of the center as instructed. The receptionist will be responsible for being the lead on the installation and loading of the EMR system (Pyramed). The receptionist is a direct report to the operations manager of the wellness center.

Specific duties of this position include, but are not limited to the following:

  • Answer multi-line phones and either direct the caller to the appropriate party or handle the caller’s needs yourself
  • Greet patients upon arrival, sign them in and obtain insurance information and any other necessary data
  • Provide patients with intake and new patient forms as well as copies of our office policies and legally required documents
  • Schedule appointments for new and recurring patients based on Physician and PA/NP availability
  • Maintain hard copy patient records as well as the files stored in our EMR
  • Call patients to remind them of upcoming appointments and to help them schedule testing for off-site services
  • Provide patients with support and guidance as needed
  • Work collaboratively and cooperatively with campus staff to maintain a student-centered environment
  • Assist with documentation of health-related testing
  • Coordinates other health services programs, i.e., immunizations.
  • Provides input into marketing services for health promotion and disease prevention efforts.
  • Manage enrollment into the Student Health Insurance Program yearly.
  • Evaluate and integrate technology including transitioning to an electronic medical records environment.
  • Prepare and maintain records and reports with accuracy and confidentiality; complete health, safety, and other records and statistics as requested
  • Helps maintain that the department is a safe, clean, and in orderly condition; assure compliance with established safety procedures and regulations.
  • Maintain appropriate inventory of supplies and medications as instructed to by the office manager and clinical staff


Required Skills
  • High school diploma/GED required (Associate degree preferred)
  • 1+ years' experience in medical assisting or office administration
  • Familiarity with EMR (electronic medical record) a plus
  • Ability to handle a fast-paced environment and prioritize tasks based on the importance
  • Excellent verbal and written communication and problem-solving skills
  • Familiarity with Microsoft Office suite
  • Consistent professional dress and manner
  • Able to contribute positively as part of a team, helping out with various tasks as required


This position requires a thoughtful individual who is willing to work with a variety of clinicians. A desire to work with college-age students and willingness to function as a member of a dynamic team. Our practice needs an individual who can take over the administrative duties involved with coordinating patient and physician schedules as well as file management and office organization. We’re looking for a professional who believes that patients should be treated as people rather than numbers in a file, and who understands the value of compassionate service. The job includes significant amounts of multi-tasking, but the ideal candidate will know when to slow down, look patients in the eye and provide personalized service.
