    Department Summary

    The University Advancement Division generates the external and internal resources that improve and support student education at California State University, San Bernardino. Its primary purpose is to advance the mission of the university via private and corporate and foundation support, communications, government, community, and alumni relations.

    Job Summary

    Support for the Vice President's Office
  • Maintain the Vice President's calendar.
  • Arrange logistics for the Vice President's meetings, appointments, and events.
  • Provide backup administrative support in the absence of the Executive Assistant.

Office Coordination
  • Prepare and process documents, maintain office records, and update web-based materials.
  • Receive, process, and verify gifts, donations, and office mail.
  • Create and process gift receipts.
  • Coordinate student payroll and timesheets.
  • Submit and oversee requisitions and purchase orders.

Division Initiatives and Projects
  • Coordinate and execute special projects.
  • Disseminate information to the division, coordinate RSVP lists and logistics, and assist in event production.

Support for the Philanthropic Foundation
  • Provide administrative support for quarterly board and subcommittee meetings.
  • Track attendance, ensure that required documents are submitted and that membership lists are accurate.
  • Coordinate meeting logistics.

Other
  • Perform all other job-related duties as assigned.


Employment Status: Full-time, Probationary, Non-Exempt (with the possibility of converting to permanent).

Work Schedule

Monday through Friday from 8:00 am to 5:00 pm, weekends and evenings may be required.



Key Qualifications
  • Excellent written and verbal communication skills; a thorough knowledge of English grammar, spelling, and punctuation.
  • Excellent organization and time management skills; the ability to independently handle multiple projects and priorities.
  • Ability to learn, interpret independently, and apply a variety of complex policies and procedures, along with the ability to identify deviations from applicable policies.
  • Demonstrated expertise in scheduling complex calendars.
  • Ability to anticipate essential materials and research necessary for meeting and travel arrangements.
  • Active problem-solving skills, along with effective and sensitive interpersonal skills.
  • Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough, and, at times, creative solutions.
  • Ability to perform standard arithmetic functions of a transactional nature.
  • Ability to work professionally, collaboratively, and collegially with a diverse group of people, clients, and co-workers.



Education and Experience
  • High School diploma or its equivalent AND three (3) years of progressively responsible experience in general office clerical or secretarial work or the equivalent.



Preferred Qualifications
  • Two (2) years experience working in higher education.



Salary:

Anticipated Hiring Range: $3,200-3,500 monthly

Classification Salary Range: $3,064-5,148 monthly
