About the Position:
The WoMen's and Adult Reentry Center is dedicated to educating on issues of gender and social equity through a feminist lens. We engage the CSUF community by providing support services, leadership opportunities, educational programs and advocacy. We believe co-curricular learning and support enhances the Titan experience. We are seeking an exceptional individual to join our team as the Administrative Support Coordinator I. Under the general direction of the Director, the Administrative Support Coordinator I provides comprehensive receptionist and administrative support to the WoMen's and Adult Reentry Center. The Administrative Support Coordinator I oversees the front desk and the day-to-day operations of the WoMen's Center and serves as a liaison regarding campus matters and fielding inquiries from students, faculty, staff, and off-campus constituents. Utilizes discretion and independent judgment in handling confidential materials and sensitive situations via phone, mail, and in person. Hires, trains, and provides direction to Front Desk Student Assistants, as well as manages their daily tasks and semesterly projects. Efficiently coordinates various clerical tasks, performs standard office procedures, adheres to deadlines, and adjusts priorities in an energetic and dynamic environment. As the front line staff person will serve as the Executive Office Receptionist that provides the first point of contact customer service to a diverse population including students, faculty, staff, parents, and campus visitors, utilizing tact and sensitivity with disgruntled individuals. Facilitates daily operations by providing reception duties, including answering telephones, assisting with student inquiries, distributing mail, maintaining physical and computer files, helps to maintain the Center's DropBox account, prepares and types written correspondence, and assists with editing of written materials. Provides administrative support to the Director and assists with event planning and catering. Works in close collaboration with the office staff to review and identify priorities, monitor projects to assume quality control, and ensure deadlines are met with minimal supervision. Orders, receives, distributes, and organizes office supplies. Serves as the office contact for maintenance of office equipment, the department IT coordinator (DITC), Student Attendance Timekeeper, and the backup Payroll Warrant. Oversees the Center conference room calendar and manages the Center's general email account. Supports the Center with travel arrangements, reservations, coordination of lunch orders, and catering. Assists with processing of travel documents, D11's, and logging and tracking all documents received and sent out by the Center. Other duties as assigned.
High School diploma or the equivalent and four years of progressively responsible experience in general office, clerical or secretarial work or the equivalent. Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough knowledge of English grammar, punctuation, and spelling. Thorough knowledge of office systems with the ability to use a range of technology, systems and software packages. Ability to independently handle multiple work unit priorities and projects. Ability to apply a variety of policies and procedures where specific guidelines may not exist. Working knowledge of budget policies and procedures. Ability to perform standard business math including calculating ratios and percentages, tracking financial data, and making simple projections. Ability to draft and compose correspondence and standard reports. Ability to handle effectively a broad range of interpersonal contacts including those at a higher level and those sensitive in nature.
A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.
Bachelor’s degree from an accredited four-year college or university or previous experience working in higher education.
