    Department Summary
    University Advancement (UA) supports the University of Oregon's (UO) mission of providing exceptional teaching, discovery, and service by strategically positioning the university to create awareness, build long-term relationships, and secure resources that increase understanding and further its aims.     The Office of Development as part of University Advancement has a mission to maximize philanthropic impact at the University of Oregon. We do this by identifying, connecting and engaging alumni and friends around the globe with their passions to advance the vision and priorities of the university.

    The Annual Philanthropy Program (APP) is critical to the UO Development programs, focusing on creating robust philanthropic activity early in the donor pipeline in an effort to identify the next generation of UO philanthropic leaders. The program focuses on securing gifts under $25,000 through various traditional and emerging efforts. This innovative team leads UO's efforts in implementing best practices in identifying, acquiring, retaining, and reactivating over 30,000 donors annually. As a centralized fundraising program, Annual Philanthropy works closely with all Advancement and campus units and programs to provide expertise and high level strategic planning to ensure a healthy donor pipeline and fundraising priorities are well represented to the broader UO community.

    Position Summary
    The Annual Philanthropy Program Assistant is an essential part of the Annual Philanthropy Program (APP), providing support for the program's work and initiatives.

    Reporting to the Director of Annual Philanthropy, this role is a great opportunity for individuals who have an interest in higher education fundraising and external relations. By supporting the APP's efforts, the program assistant will have the opportunity to gain knowledge of and experience in the work involved with building a broad base of support for the university.

    The specific functions of this position include collecting and analyzing data; gathering materials for meetings or in response to inquiries and requests; researching and compiling information related to APP operations and charges; scheduling appointments; making travel arrangements for staff members; and completing other assignments to facilitate the fundraising goals of the APP.

    This position serves as the first point of contact for the APP's internal and external constituencies (including campus “clients,” donors, and university alumni). The ideal person for this position is able to anticipate the administrative needs of the program, maintain confidentiality, work successfully in a collaborative environment, and keep individual and team work organized. This position also requires the ability to provide excellent customer service to colleagues, donors, and friends of the university while recognizing and respecting their backgrounds and identities.

    Minimum Requirements
  • Two years of general clerical experience, one year of which included typing, word processing or other experience generating documents; OR
  • An Associate degree in Office Occupations or Office Technology; OR
  • Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience.

    College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.

    Professional Competencies
    1. Ability to provide excellent customer service to external constituents, including the ability to respond with tact and diplomacy when responding to issues.
    2. Ability to function as an integral part of the office team, including keeping complex tasks organized, while maintaining an independent work plan.
    3. Ability to set priorities, take initiative, be proactive and follow through, and manage diverse responsibilities and multiple tasks.
    4. Ability to handle confidential and discrete information in a professional and ethical manner.
    5. Excellent writing, editing, and verbal and written communication skills and strong attention to detail.
    6. Ability to efficiently use and navigate Microsoft Word, Excel, and Outlook (or similar scheduling/calendar program), and familiarity with other Microsoft Office applications.
    7. Ability to navigate a complex database to compile information.
    8. Readiness to learn University Advancement's approach to diversity, equity, and inclusion and apply it to the day-to-day work of the position.
    9. Ability to interact, communicate, and work effectively with individuals, recognizing and respecting the many and varied identities of each person.
    10. Commitment to promoting and enhancing diversity, equity, and inclusion.

    Preferred Qualifications
    1. Experience with Advance or similar CRM platform.
    2. Experience in a higher education setting.
    3. Experience providing customer service to donors or clients.
    4. Experience in or knowledge of fundraising or development.
