Reporting directly to the CFO, the Executive Assistant will
provide executive support to the CFO and coordinate daily
operations for the office of the CFO. This position serves as the
primary point of contact for internal and external constituencies
on most matters pertaining to the CFO’s multiple areas of
responsibility. Responsibilities include, but are not limited to,
the following*:
• Responsible for a broad variety of administrative tasks for the
CFO’s office including:
o Oversee an extremely active calendar of
appointments
o Coordinate meetings when requested
o Complete expense reports and credit card
reconciliations
o Maintain office files and records, electronic
and paper
o Manage and order office supplies
o Issue purchase orders
o Process mail
o Prepare correspondence that is often
confidential
o Schedule travel plans, itineraries, and
agendas
• Serve in a “gatekeeper” role, where appropriate.
• When directed, communicate on behalf of the CFO with board
members, CFO staff, and
Others on matters related to the CFO’s responsibilities.
• Research, prioritize, and follow-up on incoming issues and
concerns addressed to the CFO,
including those of a sensitive and confidential nature, and
determine an appropriate course of action, referral, or
response.
• Prioritize conflicting needs; handle projects and tasks
expeditiously, proactively, and follow through to successful
completion, often with deadline pressures.
• Undertake special projects as requested by the CFO.
• Serve as the CFO’s administrative liaison to the various Board of
Trustees committees.
• Serve as the recording secretary for the CFO’s Board of Trustee
Committee meetings (audit, finance, investment, and physical
assets); completes and assembles Committee meeting materials,
minutes, and agendas.
• Gather information and complete applications for the annual
insurance renewal process.
• Assists the CFO with responsibilities such as rental property
management and acts as Hiram Inn liaison.
• Provide administrative services for the Controller’s office the
Executive Director of IT’s office, and the Executive Director of
HR’s office.
• Other duties as assigned.

Qualifications
• High School Diploma or equivalent is required; Bachelor’s Degree
is preferred.
• Minimum of 5 years of progressive administrative support
experience, preferably supporting an executive-level
position.
• Experience in an educational setting is a plus.
• Strong computer skills including Microsoft Office suite.
• Demonstrated ability to work in a diverse community.
• A good understanding of financial subjects and terminology.
• Strong oral and written communication skills and a professional
attitude.
• Excellent customer service skills.
• Demonstrated experience working in a team-oriented
environment.
• Self-motivated with the ability to work independently.
• Ability to manage multiple tasks, prioritize assignments, meet
deadlines, and follow up while maintaining.
• Must be resourceful, flexible, and a problem-solver.
