Summary :

Performs a wide variety of administrative services within the department. Coordinates and assists in the planning and oversight of Admissions Office Interview Process, Pathway Programs, Campus Tours, Student Ambassador Program and BS/DO programs and participates in some recruitment events. Assists with maintenance and updates to the RowanSOM Admissions Web Pages, Social Media Sites, including Facebook, Twitter and Instagram, and is an active member of the Admissions Committee.

Supervises the activities of support and seasonal staff. Recommends the hiring, firing, promoting, demoting, merit increases, transfers and/or disciplining of employees and other personnel changes.

Responsible for oversight of the Admissions Orientation/Interview Process including use of admissions management software program to coordinate and schedule admissions interviews for prospective students with members of the Admissions Committee

Counsels prospective students through the admissions process

Conducts assessment of prospective student qualifications using established admissions standards, guidelines and criteria, reviewing unusual circumstances with senior leadership as appropriate

Corresponding and/or meeting regularly with campus partners for strategic alignment of medical school goals.

Responsible for the recruitment and training of Student Ambassadors to represent RowanSOM as tour guides for admissions interviews, and recruitment events.

Attends national conferences relevant to Medical School Admissions.

Represents RowanSOM at Graduate/Professional School Fairs and Pre-Health Fairs.

Serves as a liaison with the Marketing Department to assist in the development of communications/publications for admissions office to be distributed to prospective students, pre-medical advisors, etc.

Responsible for oversight of Admissions programs such as Accepted Students Day, Annual Open House including recruitment of program participants, scheduling of presenters and all administrative responsibilities related to the programs. Ensures that data analysis relative to program outcomes is completed annually. Responsible for program budget maintenance.

Electronically prepares and/or compiles data for special report and analyses, monthly reports, program evaluations and other related reports within prescribed guidelines as requested.

Makes travel arrangements. Electronically submits expense vouchers for reimbursement.

Able to work Saturdays, weekends and evenings as required.

Independently executes assignments and tasks requiring data collection, information gathering, analysis, data entry/retrieval, data base maintenance and forms and graphics generation utilizing variety of software packages. Prepares admissions reports as requested. Able to work independently and adhere to strict deadlines.

Serves as principal liaison between department, Information Technology Services and AMP (admissions software) consultants.

Under direction of Assistant Dean for Admissions, evaluates office procedures, established standards, and recommends and implements new or modified procedures as needed.

Understands and adheres to Rowan University’s compliance standards as they appear in Rowan University’s Corporate Compliance Policy, Code of Conduct and Conflict of Interest Policy.

Keeps abreast of all pertinent federal, state and Rowan University regulations, laws and policies as they presently exist and as they change and or are modified.

Performs other duties as assigned.

EDUCATION and/or EXPERIENCE :

Bachelor’s Degree (Master’s preferred) plus three (3) years of progressively more responsible experience in higher education or social services with experience in counseling, program administration and some experience in the recruitment of students. Strong interpersonal skills are a must. Computer literate with familiarity with systems and educational research. Proficiency in Excel, Word and PowerPoint.
