About the Opportunity:

The Programs, Events and Operations Coordinator is an integral member of the John D. O'Bryant African American Institute team whose goal is to facilitate access, retention and successful graduation of African American students at Northeastern University in Boston, Massachusetts. Under the direction of the institute Director, Associate Director and the Student Outreach and Communications manager, the role of the Programs, Events and Operations Coordinator will be to develop and promote cultural, educational, social, and recreational events, signature programs and activities focused on student involvement and engagement. The Programs, Events and Operations Coordinator will coordinate student, faculty, staff and outside group reservations, scheduling (EMS System), and maintenance of the Institute in general and the Cabral Center and the new Student Study spaces specifically. The Programs, Events and Operations Coordinator will be responsible for administering the evaluations and assessment functions of the Institute signature programs and across the Institute. The Programs, Events and Operations Coordinator will provide support for Black student organizations and assist with contract negotiations in conjunction with NU Legal Council; The Programs, Events and Operations Coordinator will also coordinate overall operations of the John D. O'Bryant African American Institute including ensuring student access and use of the Institute space.

The Programs, Events and Operations Coordinator will also drive student participation at the Institute along with retention based programs and initiatives by providing leadership in fulfilling the Director's vision. The Programs, Events and Operations Coordinator will plan, initiate, and implement programs, projects and/or events that will assist Northeastern University African American students in strengthening student's opportunities for success through academic, social and cultural experiences. The John D. O'Bryant African American Institute is the students' home away from home and a key element of marketing and outreach to prospective students and the African American community. The Programs, Events and Operations Coordinator will work with Northeastern student organizations, faculty and staff organizations and nurture their involvement in and engagement with the Institute. The Programs, Events and Operations Coordinator, in conjunction with other Institute departments, Student Affairs, Enrollment Management and Student Affairs (EMSA), university colleges and departments, and facilities toward enhancing student organization skills, abilities and opportunities. The Programs, Events and Operations Coordinator will also maintain a comfortable and welcoming environment for students, staff, and faculty who utilize the space, including overseeing and managing the Institute's technology, and the overall facilities function in the Cabral Center, the second floor Study Space, and the Student Lounge.

Responsibilities:

Program and Event Planning -
  • Create, plan, develop, implement, and promote institute programs and events designed to improve the Institute's cultural impact on students, the Northeastern community and the surrounding community;
  • Provide direct coordination for several Institute signature events as determined by supervisor(s);
  • Support and participate in signature programs coordinated by the Institute as well as Student Affairs;
  • Create, plan, develop, implement, and promote institute cultural events and programming designed to improve student organization's involvement and engagement with the Institute, academic departments, other student groups and faculty for African-American and African origin student success;
  • Coordinate and administer Institute evaluation and assessment of the Institute's programs and events;
  • Coordinate evaluation and assessment across Institute functions;
  • Create and promote opportunities for students to increase exposure to ethical, multicultural, international and civic- minded leadership;

    Operations and Facilities -
  • Coordinate operations of the Institute;
  • Manages and oversees work-study student information and scheduling, manages staff services (copy machine, fax machine, printers supplies, related supply requests, etc.)
  • Coordinate and manage reservations, scheduling (EMS System) and use of the Institute's facilities in general and the Cabral Center in particular.
  • Coordinate with facilities the physical setup of the Institute's space, the Cabral Center and classrooms as required;
  • Monitor the Institute's physical conditions and report needed repairs;
  • Coordinate and manage the maintenance of the Institute's space, the Cabral Center, the new Student Study Space, including the kitchen and order repairs as needed;
  • Manage and maintain the Institute's equipment, furniture and technology;
  • Work with student organizations to ensure student access and use of the Institute's space and the Cabral Center and the new Student Study Space;
  • Monitor building for appropriate use;
  • Promote and market space availability to the University and community;
  • Act as point of contact for university and community interested in use of Institute space;
  • Develop outreach efforts in conjunction with other university offices; report relevant public safety issues and/or concerns;
  • Access office procedures and introduce new policies as needed;

    Event Support and Advisement -
  • Provide on-site and pre-event support for black student organization's events;
  • Assist in the construction of student organization program event calendar to limit competitive events and potential conflicts;
  • Collaborate with event management team to deliver high quality events and programs;
  • Meet with Black students and student organizations to develop a vision and budgets for their events;
  • Inform students of policies and help with coordinating of their programs;
  • Coordinate virtual and in person event planning workshops and trainings for student organization leaders;
  • Provide daily support to the student staff and provide customer service to students using Institute space;
  • Communicate effectively with performers, vendors, agents and middle-agents;
  • Edit and develop binding contracts for various performers, venues and vendors;
  • Negotiate contract terms in conjunction with Legal Counsel and talent agents;
  • Frequently assess needs of student organizations in order to enhance and expand student organization resources;
  • Attend events as necessary to ensure on site success;
  • Support the mission/vision of EMSA via division involvement;
  • Must also serve as student group and organization advisor as needed;

    Social Media, Digital and Print Marketing -
  • Support the Program Manager of Outreach and Communications to maintain the social media platforms on behalf of the office and frequently engage students using these mediums
  • Monitor new technologies to evaluate their effectiveness
  • Contribute to the design and upkeep of the Center's website
  • Support the Program Manager with publication of office brochures and marketing materials
  • Utilize social media as a customer service tool responding to student concerns and questions.
  • Monitor the social media activity of student organizations and engage them in meaningful ways
  • Collaborate with the JDOAAI staff to unify branding, messaging and marketing efforts

    Qualifications:

    The Programs, Events and Operations Coordinator must be able to represent the Institute in a professional, enthusiastic manner with a customer service and team focus. Public speaking and communication are an important attribute for this position. A bachelor's degree required, master's degree preferred, or other higher education desired along with three or five years of experience, preferably in student affairs. Candidates considering pursuing higher degrees encouraged. Experience with project management and management experience a plus. Experience with cross-cultural programming and involvement with students of African descent is important. Excellent communication and critical thinking skills, project management ability and attention to detail required. Must have excellent computer skills including proficiency in MS Office Suite, presentation, Outlook email, spreadsheet and database software. Web skills required. Familiarity with technology required such as word press and social media platforms (Facebook, Twitter, Instagram), and printers, fax machines, and desktop computers. Individual must have strong organizational, communication (both oral and written), and interpersonal skills. Must be detail-oriented, able to understand complex material to communicate effectively and must be able to work with confidential information and prioritize tasks and demands. Must be able to take initiative and follow through on tasks independently. Some background in fundraising and/or research would be desirable. Experience, comfort and proficiency with technology in general a must and specifically familiarity with Microsoft Office applications - Word, Excel, Powerpoint, etc, web-based applications editing skills such as WordPress, and proficiency in various forms of social media - Constants Contact, Facebook, Twitter, Instagram, SnapChat, Etc. Additionally, competency preferences include ability to leverage knowledge, manage change, take a customer relations approach, good priority setting, creative and innovative manager, relationship building and managing, plan and measure tasks, cost conscious, entrepreneurial, technologically comfortable, and diversity conscious. Recurring night and weekend coverage are a must to ensure the success of divisional initiatives.
