Job Summary

The Assistant Director, Hospitality and Events is the primary point of contact for hospitality and events supporting Athletics Development within the Athletics Department. In coordination with the Director of Annual Giving, the Assistant Director, Hospitality and Events will utilize best hospitality and event planning practices for a variety of large and small-scale donor and fan gatherings that help build meaningful relationships with the Department of Athletics.

Hospitality includes gatherings tied to San Jose State Athletic games, pregame functions, suite and club seat hospitality, and virtual events. Events include larger scale gala formats for the National Letter of Intent (NLI) Event and the President’s Cup Golf Tournament, as well as other Champions Society major gift stewardship events.

The Assistant Director, Hospitality and Events will also assist with other office duties in annual giving to steward existing members and grow membership in One Spartan Nation.

Key Responsibilities

  • Plan, coordinate, and execute hospitality/event logistics. This includes, determining event location, invitations, programs, menus, tone, and appropriate vendors. Prepare event briefing and program materials, including timely briefing of advancement/athletics staff and other key stakeholders. Lead the execution of tasks for successful hospitality gatherings/events.
  • Manage and staff hospitality/events. This also includes assigning and training additional staff needed to produce the event, as well as coordinating staffing needs with the campus department(s) associated with the event. Create and maintain RSVP databases (and associated reports).
  • Lead execution of tasks for other priorities of the Athletic Development team and Athletics Department that extend beyond events. Including constituent and donor engagement activities led by other areas in the Department. Actively participate in planning and evaluation of activities
  • Prepare and monitor event budgets. Secure accurate quotes and estimates from vendors, determine if the proposal meets organizational requirements for the event. Assure adherence with University, Tower Foundation procurement and reimbursement policies


Knowledge, Skills & Abilities

  • Thorough knowledge of event planning practices and protocol as well as hospitality best practices at the
  • Knowledge and ability to plan, implement, coordinate, research and evaluate a wide range of onsite and online events
  • NCAA Division I level Ability to handle multiple work unit priorities and projects
  • Ability to provide excellent customer service and skill in public relations when dealing with a wide and diverse spectrum of people
  • Ability to calculate ratios and percentages, track financial data, and make projections
  • Ability to analyze data and make accurate projections or conclusions using business mathematics and basic statistical techniques
  • Ability to determine how lighting, music, visual elements, food and beverage, program, communication and branding all interrelate and combine to lead people to the desired outcomes
  • Ability to work evening and weekend events, occasionally requiring local, in-state, and out-of-state travel


Required Qualifications

  • A Bachelor's degree and/or equivalent training
  • Two years of administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs


Preferred Qualifications

  • Bachelor’s degree from an accredited institution
  • Two years of experience in the planning and execution of events
  • Experience in higher education and familiarity with San Jose State University
  • A valid California Driver’s License or independent means of transportation to go to various locations on and off campus




Compensation

Classification: Administrative Analyst/Specialist Exempt I
Salary Range: $3,897/month - $7,051/month
