Job Description:

The Executive Assistant position is a full-time career service position. The Executive Assistant will provide a wide latitude of administrative and secretarial assistance in the management of the Office of the Senior Dean, Academic Affairs; perform highly responsible and complex administrative duties; exercise judgment and discretion in the handling of confidential information; arrange and schedule appointments and meetings with staff and/or internal and external customers; serve as liaison with College personnel to communicate directives or to provide information; assist in the development of the departmental budget and monitor expenditures of departments within the division; prepare meeting agendas; record minutes of meetings; provide assistance to departmental and College staff; and establish and maintain office files, correspondence, reports, and related materials required for efficient operation of the department. The Executive Assistant position is a complex position with a high degree of responsibility for interdepartmental coordination and public interface. This position may require availability to work flexible hours, including some evenings and weekends, to assist with special projects. This position reports to the Senior Dean, Academic Affairs.

MINIMUM QUALIFICATIONS: Graduation from an accredited institution with an associate’s degree; three years of full-time administrative assistant, legal assistant, or secretarial experience; and demonstrated computer skills, including proficiency with Microsoft Office Suite in a networked office setting and internet navigation. College course work may be substituted on a year to year basis for the required experience. Successful results of a background check are required.

Pursuant to College policy, it is an employment eligibility requirement for an applicant to meet the requirements of § 435.04(2), Florida Statutes, related to background investigations. Any person failing to meet the requirements of the statute will be deemed not qualified to hold employment in this position. A Florida Department of Law Enforcement (FDLE) approved background check will be conducted on every successful candidate as a condition of employment, and any person who fails to disclose any adverse information contained in the background investigation at the time of submitting the employment application will be disqualified from employment.

PREFERRED QUALIFICATIONS: Prefer experience managing multiple projects in a dynamic environment; a high degree of initiative with the ability to organize and prioritize work in order to meet multiple competing deadlines; and experience working in a college setting.

SALARY RANGE: $29,406.00 (15.08/hour)
