Job Description

Administrator Roles:

  • Provides administrative and executive support for the Dean and Associate Dean of the College of Engineering, Informatics, and Applied Sciences (CEIAS), directing and assisting with personnel management, reporting, workforce planning, and other confidential matters.
  • Directly Supervises, trains, and mentors department Administrators within the college
  • Sets standards and expectations for the selection, training, and evaluation of Administrators within the college
  • Assists with student employee supervision in the college.
  • Assists the Dean and Associate Dean with coordination of faculty processes such as hiring, promotion and tenure, annual reviews, sabbaticals, oversight of the classified/appointed staff performance appraisal process, etc.
  • FAAR liaison, coordinating all annual reviews, promotion, tenure, sabbaticals, and Statement of Expectations processes through Faculty 180
  • Conducts classification studies for classified and professional staff positions within the college; makes recommendations, works with college schools and departments on effective workforce planning submissions as directed and approved by the Dean.
  • Designs and implements training for faculty and staff as requested or needed.
  • Maintain partnerships and ensure coordination of administrative work within CEIAS including but not limited to the Departments of Applied Physics & Material Physics, Civil and Environmental Engineering, Mechanical Engineering, Construction Management, the School of Informatics, Computing, and Cyber Systems, and the Center for Materials Interfaces in Research and Applications.

Operational Roles:

  • Conducts internal review and/or investigation into concerns and conflicts; recommends course of action and documents outcome.
  • Primary resource at the Dean's Office level for classified and professional staff and academic administrators for assistance in staff employee-supervisor conflict resolution. Assists in conflict resolution when requested by the Dean or Associate Dean.
  • Provide supervision and leadership of college policy and procedures related to the administrative operations of CEIAS.
  • Serves as liaison for Human Resources, the Equity and Access Office, and appropriate VP areas as related to the processing of personnel matters and actions ensuring that procedural guidelines are followed.
  • Advises the Dean and Associate Dean on matters pertaining to state and federal employment law and NAU policy to insure compliance within the college.
  • Process or assist college departments and schools with foreign national employee visa sponsorship processing. Serve as liaison for the Center for International Education in discussions and documentation preparation for visa applications and fee payments.
  • Serve as the college's facilities coordinator. Work with Facilities Services and represent CEIAS on major capital projects, serve as liaison and provide assistance to CEIAS building managers as needed.
  • Promote and oversee Weekly Tutoring Program services, which provide academic support to underrepresented students and develop communication strategies with WTP partner departments.
  • Partner with faculty to understand workload, needs assessment and operational processes and strategies:
    • Meet 1:1 with chairs to conduct needs assessments and provide guidance on workflow management, expectations, and administrator’s performance
  • Collect information to be included in college newsletters (annual reports, quarterly alum/industry newsletters, and weekly e-newsletters)
  • College website quality control and management
  • Quality control and management for social media, brochures, and marketing materials
  • Other duties as assigned by the Dean


Minimum Qualifications

  • Bachelor’s degree in related field AND;
  • 2 - 4 years of management or supervisory experience OR;
  • 3 - 5 years relevant experience
