Function
The Visit Center Coordinator and Administrative Assistant is
responsible for administrative and organizational support for the
Vice President for Enrollment Management and assisting The Office
of Admissions with event coordination and customer service
duties.
Essential
Functions
1. Screen calls and routes calls to proper offices, arranges
appointments and committee meetings, processes correspondence,
prepares memos, letters and reports for VPEM.
2. Provide effective personalized customer service to prospective students, their families and all external and internal people contacting Enrollment Services, Financial Aid & Admissions. 3. Is main point of contact for University Visitor Center located on the first floor of Fourier Hall. 4. Assists the Vice President in the preparation of the annual enrollment management budget, processes bills, and monitors monthly expenditures. Process invoices for Enrollment Management Division. 5. Provides administrative support and maintains rosters for the Enrollment Management Committee of the Board of Trustees and other special committees as assigned. 6. Assists the Vice President for Enrollment Management in the coordination, preparation and distribution of reports, presentations, research, and informational material.
7. Develops systems to assist in efficient organization of records, projects and meetings. 8. Assists the Associate Directors of Admissions with recruiting events and the campus visitation program.
9. Maintain and order office supplies Qualifications: Knowledge: Bachelors degree or equivalent experience. Experience: Minimum of three years experience in a position of similar responsibility. Experience in higher education preferred. Skills/Aptitude: Exercises independent judgment using proactive and problem-solving skills to ensure a well-maintained work environment. Requires excellent organizational, analytical, problem solving, oral and written communication skills. Must be detail oriented, and have excellent interpersonal relationship skills. Must be proficient in all Microsoft Office products. Needs to be flexible, resourceful, creative, cooperative, efficient and effective. A strong customer service focus is required. Recognize, respect and maintain the confidentiality of student records. Communicate in a tone that reflects favorably upon the public and NDMU. Working Conditions: Normal office environment. Some overtime and weekend work may be required
