Job Summary

The Department of Human Resources encourages applications for the Recruitment Coordinator! This position supports the campus’s recruitment and hiring efforts across all employment groups by providing technical recruiting support, applicant tracking system (ATS) transactional support, and leading the effort to ensure outstanding candidate care. This position will work directly with recruiters from the Talent Acquisition team to support University staff and Classified staff searches. Additionally, this position may work independently and directly with campus departments to support Faculty and Research Faculty searches.

What Your Key Responsibilities Will Be

Applicant Tracking System Administration
  • Build, edit, and enter postings in the ATS.
  • Move and track applicants in the ATS for each step of the recruiting process.
  • Ensure that each applicant is updated about the status of his or her candidacy.
  • Provide initial screening of applications for fit with minimum qualifications.
  • Coordinate the letters of recommendation process.
  • Provide access to application materials to hiring teams and search committee members.
  • Provide support to applicants to ensure application materials were submitted accurately and to update materials where appropriate.

Communication with Recruitment Team and Partners
  • Ensure a timely and personal response to applicants’ inquiries and questions.
  • Provide seamless coverage of hiring activities by providing hiring teams with process updates when recruiters are unavailable.
  • Audit recruitment email box for new recruitments and provide relevant details of new requisitions to the appropriate recruiter.
  • Work with departments to receive, process, and provide updates to recruiting requests related to faculty and research faculty searches.
  • Provide general direction and support to campus departments related to faculty searches. Using discretion will collaborate with professional recruiters and other relevant resources as appropriate.

Recruiting Systems Administration
  • Help to connect recruiters by providing activity updates for requisitions that may have relevance across organizations.
  • Perform set-up and preparation of candidate details in the video interviewing system.
  • Handle the initiation and preparation of candidates in the reference checking system.
  • Prepare reference check reports and ensure delivery to the assigned recruiter.
  • Post positions to external jobs sites and complete journal entries so that departments are appropriately charged for advertising costs.
  • Run recruitment metrics reports and prepare analysis for Recruitment Manager.
  • Send candidate and hiring manager surveys and follow up as appropriate to ensure an acceptable response rate.

Transition Selected Candidates
  • Create candidate offer letters and route them for signature.
  • Create addendum letters for promotions and appointment changes and route for signatures.
  • Collect relevant applicant data to complete the hiring process for the final applicant.
  • Initiate background checks and degree verifications for selected candidates.
  • Keep track of and record the outcome of background checks, communicating with recruiter and hiring manager as needed the progress of background checks.


What We Can Offer

Salary range is $47,000 - $50,000.

What We Require
  • A bachelor’s degree from an accredited institution;
    • Substitution: Experience working in a Human Resources environment can substitute for the education requirement on a year for year basis.

  • Proven competence in multitasking in a fast-paced environment.
  • Proven success in providing high levels of support for a team.


What We Would Like You To Have
  • Previous experience providing recruiting support within a large sophisticated organization.
  • Direct Human Resources experience, background, or education.
  • Experience working with an ATS.
