General Summary:

In conjunction with the HEPIUS Directors, Department Director and the Administrator, contribute to the Institute’s vision and implementation of its strategic plan and manage cross-divisional activities that advance the Institute’s strategic growth, development and enhance operations. Act as a resource for faculty, staff, students and administration to determine the general, financial, and administrative services required to plan and execute the mission of the Institute.

Job Description:

Operations:

  • Assist in the day-to-day administrative operations of the institute.
  • Responsible for ensuring logistics are coordinated for large meetings (eg. rooms, food, AV, etc).
  • Purchasing, maintenance and safety compliance of laboratory equipment (making sure we are at all times in compliance with the safety regulations of Hopkins for research)
  • Coordinate grant application process with HEPIUS directors.

Administrative:

  • Manage calendars of HEPIUS leadership related to HEPIUS activity
  • Point person for all laboratory purchasing, reimbursements, orders, etc.
  • Contribute to financial objectives and budgets as well as tracking organization performance against objectives
  • Work with HEPIUS leadership to plan special events.
  • Perform other duties as required.

Qualifications:

  • Requires high school diploma/GED and a minimum of three (3) years of related experience.

Additional education may substitute for some experience, to the extent permitted by the JHU equivalency formula.

* JHU Equivalency Formula:30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job. *

Preferred Qualifications:

Demonstration of progressively responsible administrative experience with fluency in grants budgets and University polices for grants is preferred.

Special Knowledge, Skills, and Abilities

  • Fluency in speaking and written English.
  • Excellent organization and management skills are required, to include the ability to manage multiple different tasks in an efficient, timely and meticulous manner.
  • Must be motivated, work well with others and be able to troubleshoot routine problems.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
