Vocal Ensemble Coordinator

Position Summary

Reporting to the Ensemble Program Manager and working closely with the Director of Choral Studies, Ensemble Coordinator and Ensemble Librarian, this position is responsible for providing administrative support to Vocal Ensemble, as well as to providing additional support to the Conservatory Ensemble Program, as needed.

The Ensemble Office manages the personnel, rehearsal, and performance activities of all Large Ensembles at the Peabody Conservatory; administers the graduate orchestral program. The staff also coordinates the fall placement audition(s) by which students are assigned to their required large ensembles. The Ensemble Office also provides support to the Peabody Preparatory as needed.

Note: This position works 37.5 hours per week for 10-month periods August - May, leave without pay June - July.

Job Description

Vocal Ensemble Support and Logistics:

  • The Vocal Ensemble Coordinator is the first stop for students with any questions or issues related to Vocal Ensemble rotations, concerns, and questions.
  • Manage and coordinate Vocal Ensemble rosters, repertoire, personnel, and schedule information through ArtsVision.
  • Maintain accurate and up-to-date Vocal Ensemble Blackboard including, but not limited to syllabi, schedules, assignments, and virtual session recordings.
  • Assist the Ensemble Program Manager in hiring all Vocal Ensemble guest artists and manage the virtual Guest Artist Series.
  • Assist the Ensemble Program Manager in coordinating the attendance records for Vocal Ensemble and update Starfish alerts related to Vocal Ensemble students.
  • Assess Vocal Ensemble Synchronous Engagement Conflict Notices (Excuse Request Forms) received form students in conjunction with the Ensemble Program Manager and make appropriate decisions to approve or reject requests based on merit.
  • Assist in recruiting additional students required for certain Vocal Ensemble groups.
  • Coordinate the preparation of accurate and detailed rehearsal and broadcast recording and performance stage setup/seating diagrams in conjunction with the Production staff.

Vocal Ensemble Auditions:

  • Coordinate the roster of all incoming and returning students with Vocal Ensemble requirements for Large Ensemble Placement Auditions.
  • Work with the Registrar, Director of Advising, Director of Student Affairs, and Academic Affairs Office to obtain accurate rosters of incoming and new students before the start of the academic year.
  • Assist the Ensemble Program Manager in coordinating with Peabody faculty to create audition schedules.
  • Create master schedule of all individual placement audition times for students with Vocal Ensemble Requirements, as well as students interested in participating in this ensemble without requirement need.
  • Manage online audition forms through Slate and troubleshoot any issues that may arise.
  • Provide technical and administrative support to students and production team during Vocal Ensemble Auditions.

Vocal Ensemble Library:

  • Works with Ensemble Librarian to secure music purchases and rentals and ensure that materials are appropriately catalogued and maintained.
  • Responsible for the preparation, organization, distribution and collection of all performance Vocal Ensemble materials.

Required:

  • High School diploma or GED required. Bachelors’ degree in music strongly desired.
  • Three years of clerical/administrative, or other related experience required.
  • Additional education may substitute for required experience to the extent permitted by the JHU equivalency formula.
  • Demonstrated and working knowledge of Microsoft Office suite, including, but not limited to Word, Excel, and Access.
  • Demonstrated and working knowledge of Google Drive products.
  • Effective communication and interpersonal skills to support working with students, faculty, staff, vendors, donors, and guest performers as necessary to perform the job.
  • Ability to work some evenings and weekends, according to the concert schedule.
  • Excellent organizational skills; ability to multitask.
  • Ability to learn and work with new web-based technologies and organizational tools.

Preferred:

  • Experience in the arts administration field.
  • Familiarity with ArtsVision, OPAS, or other arts management and scheduling software.
  • Working knowledge of Wordpress.
  • Experience with SAP or other financial management software.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
