Coordinator - Undergraduate Programs, TRIO

Position Category: Staff - Full-Time

Under the general direction of the TRIO Undergraduate Programs Director, the coordinator is responsible for a variety of associated administrative, fiscal, staff support, planning activities and data analysis for both TRIO SSS and TRIO EOC Programs. Coordinates and facilitates meetings, program functions, and/or special events as appropriate. Is responsible for hiring procedures, onboarding and training of new employees including overseeing student employees (and work-study students). Other duties as needed relating to connecting participants with resources to meet their individual needs (e.g. financial, applications, housing).

Key Roles and Responsibilities
1. Performs office management supervisorial duties including overseeing Office Support Staff and Work Study Staff of both programs and works closely with TRIO SSS Advisor in continuous training and coaching of student staff to create a cohesive culture of learning and development. Supports and supervises alongside EOC and SSS Advisors in planning and executing student-facing events for recruitment, FAFSA education, graduation, annual training, retreats, banquets, etc. Works closely with SSS Advisor I and Program Director in evaluating and awarding Scholarships annually, including the updating of documentation and tracking student completion of all Onboarding requirements that are necessary for Scholarship and regular program applicant's entry into TRIO.

2. Manages advanced and confidential record and data keeping duties including overseeing data/script integration from UVU's Banner to TRIO's reporting software such as Blumen and StudentAccess. Such duties include but are not limited to overseeing the yearly in-house audits of all physical and digital intake forms and updating/destroying of detailed student files and managing them for the required 6-7 years according to federal regulations. Additionally, Coordinator is responsible for the upkeep and management of program announcements on social media platforms including but not limited to Instagram, Facebook, Twitter, Canvas Groups, etc., as well as aiding Advisors with program website management as needed.

3. Performs advanced and confidential administrative support duties, including composing routine correspondence, meeting minutes, financials, and obtaining factual information requiring knowledge of policies/procedures of assigned and work-related areas for both TRIO SSS and TRIO EOC. Maintains inventory of office equipment and supplies, establishes updates, and retains files over contracts, ordering, receiving, billing, distributing, reconciling expenditures through Concur, etc. Must edit and update documentation regarding TRIO SSS and EOC program forms, applications, and surveys by working closely with Web Development Services and other departments as needed.

4. Performs other job related duties as assigned.

Required Qualifications:
Graduation from an accredited institution with a bachelor’s related to the Summary of Duties or any combination of education and/or experience totaling four years.

  • Knowledge of reporting practices, particularly with tracking student involvement within a program and available space for new students into each program.

Preferred Qualifications:
Preferred Qualifications: Proficient in Spanish or another Secondary language.

Experience with Adobe Suite and Adobe Sign
Experience with Event Organization

Physical Requirements:
Work is performed in a normal office environment.

Pay Range: $34,052 - $42,065
