Assistant Dean & Registrar - Full-time (FT)


Reporting directly to the Dean of Students & Senior Vice President, the Assistant Dean & Registrar provides leadership and oversight to all aspects of the Office of the Registrar and supports the Dean of Academics in managing faculty and student needs. This role manages the creation and maintenance of course schedules and all areas of student registration and the recording and reporting of grades. The Assistant Dean & Registrar ensures compliance with FERPA regulations with special consideration of the maintenance and integrity of student academic records.  The person in this position will investigate and resolve student academic, personal, and disciplinary issues.


Key Responsibilities

  • Registrar responsibilities include: 
    • Establishes and maintains processes for the equitable and consistent administration of policies and procedures as they relate to registration and academic record keeping (registration set-up, record creation, grade processing, transcript issuance, and all enrollment verification)
    • Interprets and enforces academic policies and regulations of the Institute 
    • Serves as the official for FERPA compliance 
    • Develops and implements strategies to improve efficiency and effectiveness of the Registrar's Office 
    • Develops and maintains accurate curriculum management systems (degree audit module)
    • Plans and manages the annual budget of the Registrar’s Office 
    • Conduct beginning and end of term processing in student information system (SIS); including building of terms/sessions, granting SIS access to new students, academic progress reporting, retention reporting, and graduation clearance process
    • Enrollment reporting to the National Student Clearinghouse
    • Institutional reporting to U.S. Department of Education, accreditors, and District of Columbia Licensure Commission
    • Serve as institutions Veteran’s Affairs Certifying Official and SEVIS Designated School Official


  • Assistant Dean responsibilities include: 
  • Assist in the administration of the university’s disciplinary process for all alleged misconduct and Title IX-related alleged misconduct for all students
  • Investigate allegations, serve as a hearing and mediation officer, and issue sanctions as appropriate
  • Counsel students in academic, personal, and disciplinary matters; assess at-risk students for additional intervention by appropriate personnel
  • Serve as liaison to internal and external constituencies
  • Conduct professional training


  • Other responsibilities:
    • Serve as IWP’s Title IX Coordinator
    • Serve as Student Information System Administrator (maintain user groups, manage system data, grant access and appropriate permissions to faculty, staff, and students
    • Other duties as assigned


Supervisory Responsibilities: None



Education and Experience Requirements: 

  • Bachelor’s degree required; Master’s degree preferred
  • 5 - 8+ years’ relevant work experience inhigher education or related setting; Background in advising/counseling students
  • Experience with student information systems (EMPOWER) preferred 


Knowledge, Skills and Abilities 

  • Excellent managerial, supervisory and training skills
  • Ability to formulate and implement policies and procedures
  • Excellent organizational skills and attention to detail with the ability to handle multiple tasks
  • Excellent computer skills, including knowledge of Microsoft Office suite, Internet and e-mail proficiency
  • Ability to read and understand technical forms and financial reports
  • Strong written and oral communication skills
  • Willingness to establish and maintain effective working relationships, while maintaining confidentiality. 
  • Excellent critical-thinking skills and use of sound judgment
  • Commitment as a hearing officer to an unbiased/neutral perspective until evidence supports an opinion
  • Strong attention to accuracy and detail
  • Ability to strategically and sensitively ask questions, evaluate responses, weigh information, and determine responsibility, with an eye toward maximizing educational opportunities consistent with institutional philosophy
  • Skills relevant to establishing and maintaining successful partnerships with alumni, parents, faculty/staff, administration, members of the community, and other stakeholders
  • Ability to interpret data, distinguish nuances, and evaluate multiple courses of action
  • Ability to take initiative, balance multiple projects, set priorities, and work autonomously and as a member of a team
  • Ability to communicate difficult/sensitive information


Work Environment:  

  • General office environment 
  • Hours of work and days are Monday through Friday, 9:00am to 6:00pm 
  • Travel: Some travel required 

Physical Demands:  

  • Must be able to remain in a stationary position 50% of the time 
  • The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc
  • Constantly operates a computer and other office productivity machinery
  • The person in this position frequently communicates with Executives, Faculty, and Students.  Must be able to exchange accurate information in these situations
