Job Description

Embry-Riddle Aeronautical University’s Prescott, Arizona campus is hiring an Shipping and Receiving Clerk to support the Material Management team of our Facilities Department. Embry-Riddle's Prescott Campus is respected worldwide for cutting-edge instruction and training for tomorrow’s aviation, aerospace, security and intelligence leaders. The university is a small, private, residential university in the mountains of Arizona with approximately 3,500 students. Staff/faculty/student interaction is highly valued and is a central theme of our campus. It is located 100 miles north of Phoenix and 120 miles south of the Grand Canyon.

Job Summary:

Daily receive and unload freight both manually and with equipment such as forklifts and pallet jacks. Inspect, research and verify quantity against packing lists, process, and distribute all incoming University packages received at University Receiving. Process out-bound ground, express and freight shipments. Prepare materials for shipment including pickup outgoing shipments from various departments, prepare for shipping, select carrier and prepare bill of lading. Maintains shipping records. System Administrator for SC Logic Shipping & Receiving Tracking Software used to receive and ship packages. System administrator for the FEDEX tracking software used for shipping out packages. Assist Materials Management with office, surplus and various other type moves as needed and with twice yearly classroom and lab set up for start of Fall and Spring semesters. Assists campus in maintaining campus standard furniture setups in offices, conference rooms and other areas. Maintain cleanliness and organization in warehouses.

Job Duties:

  • Process daily incoming shipments including verifying and recording orders, scan, sort, count, unpack, examine inspect, verify information against bills of lading, invoices, purchase orders and other records. Notify department and reject damaged items, record shortages and coordinate with the Purchasing Department to rectify damages and shortages. Deliver all materials and products received at Receiving to campus departments in a timely manner. Pickup outgoing shipments from departments, package prepare for shipping including weigh, measure and determine method of shipping. Tag all incoming University assets including capital and federal assets by tagging, record keeping and data entry.

  • Coordinate with departments for large shipments/freight/items that need to be held and deliveries of same.

  • Prepare daily and monthly reports for accounting.

  • Maintain organization and cleanliness in the warehouses.

  • Using the SCLogic and Oracle software systems, operate computer for daily receiving and shipments, process labels for outgoing shipments and research and receive PO’s before delivering items to departments. Processes month end reports.

  • Assist Asset Management with duties as needed including but not limited to lifting and moving heavy office and surplus items for moves and storage.

  • Facilitate office moves, perform classroom and lab setup two times per year to prepare them for fall and spring classes.

  • Assist with event set-up.

  • Support construction projects by storing and delivering job materials as needed.

  • Assist with snow and ice removal during winter storms.

  • Operate forklift, pallet jack and hand truck to assist drivers to with off-loading deliveries and move, convey, or hoist shipments from shipping and receiving platform to storage or work areas. Operate fleet vehicles to transport materials and products around campus and to flight.

Qualifications
  • Read and comprehend instructions, write information, and complete simple forms.

  • High school (or GED) level ability in spelling, grammar, basic composition, and math.

  • Minimum of one to three year work-related experience.



Required licenses, certificates, and /or security clearances:

  • Valid drivers license

  • Forklift certification

  • OSHA 10 certification



Required skills, knowledge, abilities:

  • Good interpersonal and communication skills.

  • In depth knowledge of information systems and technical expertise with Microsoft operating systems, Excel, Word, Outlook/email, and Internet end-user applications.

  • The employee must regularly alone lift and/or move up to 30 pounds, frequently alone lift and/or move 50 pounds, and occasionally lift and/or move up to 100 pounds with assistance.

  • Must be able to operate fork lifts, pallet jacks, hand trucks and furniture dollies.

  • Must remain awake and alert at all times.

  • Must wear department uniform.

  • Must wear radio and earphone for communication.

  • Proficient using Microsoft Outlook

  • Proficient in scheduling tasks and meeting deadlines.
