General Summary

Reporting to the Director of Admissions, this position is responsible for managing all admissions events and supporting communication efforts across all campuses with a high degree of attention to detail. Oversee the data management of all recruitment events to determine effectiveness. Present promotional information to prospective applicants in coordination with the Office of Marketing and Communications. In addition, assist in the development and administration of the Admissions Office web sites, database systems, statistical and survey tools as needed. Liaison between the Washington, SAIS Europe and Hopkins-Nanjing Center campuses. Assist the Office of Admissions with meeting graduate student enrollment and revenue goals.

Job Responsibilities

Recruitment Functions 50%

  • Coordinate all virtual and on-campus admissions events, including group information sessions, open houses and recruitment fairs, etc.
  • Communicates with applicants regarding admissions process and policies.
  • Assist with email or direct marketing/communication campaigns. Work in collaboration with the Director of the Hopkins-Nanjing Center (HNC) Washington Office to develop email communications to key target audiences includingmonthly e-newsletters to prospective students, yield and pre-departure communications with incoming HNC students, and faculty contacts at universities and institutions across the globe. Assist with developing ad hoc marketing and admissions reports upon request.
  • Travels locally and nationally, when necessary, for networking and recruiting related activities.
Admissions Functions 40%
  • Responsible for ensuring the efficient and effective processing of admissions materials submitted as part of the application process.
  • Assist in the collection, analysis and reporting of admissions statistics throughout the admissions cycle, using admissions software (e.g. SIS, Slate) and other appropriate sources
  • Troubleshoot technical questions from online applicants
  • Assist with the revision and maintenance of the SAIS Admissions web site
  • Correspond with prospects in person, by phone, or email regarding application inquiries
  • Maintain continuous follow up with all prospects from application to matriculation stage
  • Assist with application review process as needed.

Miscellaneous 10%

  • Works collaboratively and regularly with students, applicants, faculty, SAIS deans and administrators, as well as external applicants
  • Assists in general professional development activities for the Admissions Office.
  • Performs other duties and ad hoc projects as assigned.

Education

  • High School Diploma/GED

Skills & Knowledge

  • Strong interpersonal, analytical, and problem solving skills
  • Four years of progressively responsible administrative/office
  • Excellent proficiency in basic data management systems and basic computer applications (e.g., Word, Excel, Access, PowerPoint); willingness and ability to learn additional applications as needed
  • Knowledge of client relationship management (CRM) software, preferably Slate Technolutions
  • Excellent communication skills both oral and written
  • Ability to work independently and as part of a team
  • Strong planning and organizational skills and the ability to manage competing priorities
  • Have exceptional initiative and judgment
  • Strong customer-service orientation
  • Ability to work effectively with faculty, administrators, students alumni and external constituents
  • Willingness to travel domestically

Experience

  • Four years of progressively responsible administrative/office management experience, preferably in higher education administration (admissions, registrar or financial aid).
  • Additional education may substitute for required experience, to the extent permitted by the JHU Equivalency formula.
  • Experience with the U.S. undergraduate educational system is preferable

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
