Chorus Manager

Position Summary:

With approximately 2,500 students passing through its doors every week, the Peabody Preparatory is Baltimore’s premier community school for the performing arts. It is open to students of all ages and levels of ability with offerings ranging from early childhood classes to programs for adults and professional musicians. As an integral part of the Preparatory, The Peabody Children’s Chorus (PCC) was established in 1990 and has grown from 30 to over 450 singers in 9 rehearsing ensembles in three levels and 4 preparatory classes. Rehearsals take place in Howard County on Monday and Thursday evenings and in Towson on Tuesday evenings.

As well as touring in Italy, France, Germany, Austria, England, Scotland and Hawaii, the chorus has performed with many local ensembles including the Baltimore Symphony Orchestra, Baltimore Choral Arts Society, Concert Artists of Baltimore and Lyric Opera.

Reporting to the Chorus Director of the Peabody Children’s Chorus and working with students, families, faculty, and staff stakeholders across campuses and the community, the Chorus Manager serves as the operational manager for the chorus program and oversees the operational and logistic needs of the program.

Job duties include:

Operations and Logistics (60%)

Working alongside the Chorus Director and faculty, and closely with the Preparatory staff the Chorus Manager works to:

  • Develop, plan, and oversee the annual chorus calendar for all auditions, rehearsals, performances, and meetings.
  • Develop course descriptions and class details, and audition information for inclusion in ASAP, the Preparatory’s online registration system, and website.
  • Manage student enrollments including waitlists, drops, and transfers in ASAP
  • Plan and oversee logistics for PCC auditions.
  • Plan and present new student and family orientation.
  • Plan and oversee weekly rehearsal logistics ensuing the smooth arrival and departure of all faculty, students, and parents.
  • Serve as onsite point-person for campus facility staff, and coordinate with onsite security/traffic team.
  • Plan and oversee rehearsal setups, technical needs, and equipment required for rehearsals.
  • Create and update all seating charts.
  • Serve as PCC point of contact regarding concert box office and work with Peabody staff on ticket sales and coordinating day of concert box-office.
  • Serve as production manager for all PCC concerts and events overseeing all technical requirements for concert and event setup and production; along with the Chorus Director, serve as the point person for PCC with venue staff including coordinating riser setup and removal.
  • Serve as back of house manager for all PCC concerts and events overseeing the recruitment, training, and supervision of volunteer chaperones and coordinating all supplies needed for students backstage.
  • Manage contract process related to rehearsals, concerts, and special events.
  • Assist with the development of the annual PCC budget.
  • Manage all purchases related to PCC including direct responsibility for the chorus credit card.
  • Oversee logistics for all external PCC events.
  • Collaborate on policy, procedure, and operational development for PCC.
  • Oversee the logistical planning for any tours undertaken by PCC. Along with the Chorus Director, serve as the point person working directly with tour companies on pre-planning, on-tour, and post tour activities to ensure a successful outcome for the tour.
  • Coordinate mechanism to share recordings and photographs from all concerts and tours.

Communications (25%)

  • Assist with the development and implementation of recruitment plan for new PCC students.
  • Work closely with marketing to coordinate all social media, communications, collateral materials, and web page updates related to PCC.
  • Work closely with marketing to provide rosters and materials needed for all PCC concert programs and digital concert materials.
  • Create global PCC communications, such as welcome letters, newsletters, important announcements; create and supervise distribution of all digital forms for information gathering.
  • Manage PCC archive of performances, programs, events, video and audio recordings, and photographs.
  • Work with Peabody Donor and Alumni Relations staff on donor and alumni engagement.

Strategic Planning (5%)

  • Under the guidance of the Director of the Preparatory and other PCC stakeholders, assist with the development of strategic long-range planning for PCC.

Supervision (10%)

  • SuperviseChorus Coordinator, Peabody Children’s Chorus.
  • Oversee the recruitment, training, and supervision of all parent volunteers and ensure all volunteers complete required JHU trainings.

Minimum Qualifications(Required):

  • High school diploma/GED
  • 3 years of related experiencein arts administration required. Five years of related experience preferred.
  • Additional education may substitute for required experience to the extent permitted by the JHU equivalency formula.

Preferred Qualifications:

  • Bachelor’s degree in music or music education, or business administration required – or equivalent experience.
  • Demonstratedexperience in K-12 or community arts sectors.

Special Skills, Knowledge & Abilities:

  • Familiarity with community music school online registration systemsand learning management systems.
  • Familiarity with WordPress, ArtsVision and Slate.
  • Demonstrated facility with Microsoft Office 365 suite.
  • Effective communication and interpersonal skills to support working with students, families, faculty, staff, and guest performers as necessary to perform the job.
  • Ability to learn and work with new web-based technologies and organizational tools.

This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
