Administrative Assistant

Job Description

The Administrative Assistant assists in the Center for Service & Military and Veterans Services daily operational management of a department, including budgeting, customer service, and administrative support duties.

•Serves as initial contact, answers telephones, emails, assesses and responds to inquiries, provides appropriate information and direction, scheduling classroom or event space, processes mail and packages.
•Prepares and reviews reports, forms, and documents; ensures compliance with policies and campus procedures; maintains web pages; schedules and prepares for meetings and/or special events.
•Processes purchase orders and remittance vouchers, maintains office supplies, and collects and deposits miscellaneous monies.
•Assigns and supervises the work of student employees.
•Serves as operational liaison to other departments, campus, and community
•Assists with the development and oversight of budget and financial information, such as maintaining balances, researching discrepancies, and preparing reports and recommendations.
•Assists in the coordination and publicity of departmental activities and events, including the design of brochures, newsletters, or invitations.
•Performs other duties of a similar nature or level.

•Maintains and updates volunteer tracking program.
•Works with the directors and both centers to create and facilitate programming, including student events and presentations both on and off campus.
•Facilitates VA/military benefit programs with Financial Aid through government and university systems. Will obtain VA certification through the university.
•Maintains military-related records and monitors VA and university systems to ensure accurate and up-to-date records while using information to provide documentation requested by the university, state, DOD and/or VA

Required Qualifications

•High School diploma or GED ; and
•One year of specialized training in administrative support or a related field; and
•Three years of administrative support or related office experience

Preferred Qualifications

Physical Demands

Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body.



Additional Demands

Some departments may require occasional night or evening work

Hours of Work

Monday – Friday 8 a.m. to 4:30 p.m.
