Position Summary:
Reporting to the Vice President of Student Affairs at Willamette University in Salem, the Associate Dean (AD) serves as the senior student affairs officer and primary manager for the student life department at the Pacific Northwest College of the Arts at Willamette University (PNCA) in Portland. The Associate Dean is responsible for the co-curricular education, engagement, and support of approximately 500 undergraduate and 150 graduate students, with approximately 130 first-year students residing in apartment-style living. This includes planning and oversight of initiatives, programs, and processes aimed at building inclusive communities that promote academic success, personal growth, and student well-being. The AD serves as the primary supervisor for 4 professional staff members: one Area Coordinator who serves as the live-in professional for “ArtHouse”, the Associate Director of Student Life, the Coordinator of Student Life, and the Director for Multicultural Engagement and Inclusion, in addition to working closely with the mental health counselors.

The Associate Dean of Students will assist in leading efforts to ensure the PNCA student life division's policies, practices, and educational initiatives are equitable, foster a welcoming and inclusive campus environment, and align with divisional and university diversity, equity and inclusion goals for all students. The AD serves as a relationship builder--mentoring, advising, and connecting with diverse groups of students and members of the campus community and identifying needs and developing strategies to enhance students' learning and overall experience at PNCA.

The Associate Dean ensures all aspects of the University's conduct system are followed at PNCA and serves as a Deputy Title IX Coordinator. The Associate Dean leads the PNCA Student Care Team; ensuring case management support and assistance to students in crisis, stress, and distress.

The Associate Dean ensures appropriate oversight for student events, student clubs and organization advising, student engagement and leadership development, and coordination of New Student and Family orientation and family weekend events. The AD provides leadership for emergency/on-call support and response, and may assist with conference functions over the summer.

JOB DUTIES

Student Affairs Management
  • Provide innovative and strategic leadership for the programmatic and operational functions of the PNCA Student Affairs Office. Ensure day-to-day operations include efficient systems to meet professional standards and timely and sensitive response to students', families', and the University community members' questions, concerns, and requests for assistance.
  • Recruit and supervise professional staff and ensure the recruitment, training, and supervision of Resident Assistants and other student staff. Hold regular 1-1 meetings with direct reports, co-lead weekly department staff meetings, and provide appropriate professional development opportunities for staff.
  • Establish a sense of unity, teamwork, and positive staff relations among professional and paraprofessional staff members and colleagues.
  • Ensure staff training that leads to the facilitation of inclusive communities that support students' development of multicultural understanding, cross-cultural relationships, academic success, and wellbeing.
  • Oversee PNCA crisis management systems and emergency protocols; work collaboratively with PNCA faculty, and Salem campus staff: Dean of Students, facilities, Campus Safety, Bishop Wellness Center staff, and off-campus agencies (local authorities, medical facilities/personnel) as needed.
  • Oversees (with coordination with the Residence Life and Housing office) assignments, and collaborative relationship with Arthouse building manager.​


New Student and Family Orientation
  • Support the Coordinator of Student Life, Associate Director of Student Life and Area Coordinator in the recruitment, supervision and training of student orientation advisors.
  • Co-Lead the planning of the new student, family, and transfer student summer, spring, and fall orientation programs with campus partners; oversee the schedule development.
  • Create the new student and family orientation communication plan (e.g., website, e-mails, social media) with campus partners.
  • Oversee the orientation registration for new students and families.
  • Coordinate opening logistics with campus partners.​


Student Leadership and Engagement
  • Lead the department's development of a robust education program. Ensure programs/initiatives/community meetings promote inclusivity and support student success, student learning, community development, and overall well-being;
  • Ensure the on-going development of initiatives in partnership with faculty and staff liaisons based on community interests, and student needs.
  • Ensure the development and full utilization of the Student Council for feedback and creation of policies, and programs, and facilitates the leadership development and advisement of the student leaders). Meet regularly with student leaders.
  • Ensure club registration membership development and training of student leaders.
  • Ensure fiscal guidance and ethical use for student activities fund usage and expenditures.
  • Maintains visibility by regularly interacting with students, attending events, serving on committees, doing appropriate outreach to develop and maintain relationships.

Student Support
  • Advise students and family members in decision-making as appropriate and provide resource referrals to help support student success and well-being;
  • Serve on the senior staff on-call team on a rotating basis to support residence life staff responding to emergency situations during the evening and weekend hours. Consult with university staff concerning serious or problematic situations as needed;
  • Oversee support student recognition initiatives and promote leadership opportunities.
  • Ensure the development of department systems for staff's timely and sensitive response, outreach, and relationship building for students of concern and on-going tracking of follow-up.
  • Assist students and staff in mediating and addressing student conflicts, applying restorative and community development principles.
  • Assist in the orientation of incoming students. Provides programs and activities which support cross-cultural understanding.


Student Conduct
  • Promotes student rights and responsibilities through the fair and consistent administration of the University code of conduct, policies, and procedures.
  • Ensure student code of conduct and university policies and procedures are updated and communicated to the community as needed.
  • Ensure training for all levels of staff to ensure staff's educational response and timely follow up to violations of residence hall and University policies
  • Serve as an Administrative/University Hearing Officer or member of the University conduct panel hearing board for high level judicial and Title IX cases as needed.
  • Oversees professional and student staff responsibilities in communication of community expectations of students, response to behavioral issues, and the adjudication of student conduct.

Divisional Leadership
  • Attend monthly divisional meetings, bi-weekly divisional leadership team meetings, trainings and committee meetings.
  • Be accessible, visible, and present for relevant/occasional university speakers and major events; attend staff/student-planned community development activities and educational events as appropriate.
  • Chaperone and assist in organization of large, annual, campus-wide programs as needed such as opening days events, Senior class events, and commencement.
  • Assist in leading task forces, presenting training topics, and executing divisional and university projects as needed.

JOB SCOPE

Work involves a variety of duties and responsibilities in administration of the Student Affairs program. The primary functions of the position include the oversight of event planning, student engagement, and student emergency response. Some evening and weekend availability is required. This position is designed for the Portland PNCA campus but may require occasional travel to the Willamette campus in Salem. The position requires a high degree of interpersonal and communication skills with an emphasis on approachability and availability to support and mentor staff and students. As most work is performed indoors, the Associate Dean has minimal exposure to hazards or adverse environmental conditions. However, special activities may require the person to travel to other buildings outdoors and experience inclement conditions.

JOB QUALIFICATIONS
  • A Master's degree in Student Personnel, counseling, or related discipline is required.
  • Minimum of 10 years of progressive student affairs experience is required; Progressive increased level of responsibility preferred in crisis management, student advising, supervision, student conduct, and program planning. Previous experience at a college of art is preferred.
  • Possess a sound background in student/human development theory. Committed to expanding knowledge and understanding of student development and social issues (e.g. alcohol and other drugs, Title IX, international and multicultural issues, eating disorders, mental health, etc.)
  • A demonstrated commitment and passion for professional growth in the areas of student learning and development, community development, supporting students' well-being, and best practices in residence life programs and operations.
  • Knowledge of equity and inclusion issues and laws that impact higher education and particularly community living (all gender spaces, Title IX, affinity based living learning communities, ADA compliance)
  • Demonstrated commitment to expand knowledge and awareness of diversity, equity, and inclusion, understanding cultural differences, social identities, and historical inequalities, and strategies for interacting effectively with people different from oneself and providing support and advocacy for diverse communities.
  • Demonstrated experience using diversity, equity, and inclusion lens in delivering programs and services practice (i.e., staffing practices, supervision, training, policies, programs) and working effectively with individuals and groups from a variety of identities, cultures, and backgrounds.
  • Demonstrated experience and commitment to professional growth in best practices in using technology in student affairs (google suite, judicial database management systems, social media)
  • Involvement in local, regional, and national organizations supporting the field of student affairs (such as ACPA and NASPA).
  • Possess excellent basic helping skills and displays empathy and regard for others' concerns. Ability to demonstrate sensitively to the diversity of individuals' needs, backgrounds, life and work styles. Ability to practice a developmental approach to behavioral problems and develop strong rapport.
  • Ability to function competently under pressure and effectively diffuses crisis situations and to demonstrate sound judgment.
  • Ability to manage time and tasks to accomplish responsibilities in a timely manner. Ability to work independently as well as accept direction.
  • Availability on weekends and evenings as needed.
