General Summary:

The Medical Secretary provides administrative support for five genetic counselors and a Patient Service Coordinator in the Prenatal Genetic Counseling office within the Division of Maternal-Fetal Medicine (MFM).

Job Responsibilities:

    Secretarial duties: Answer incoming calls and direct them to appropriate party. Preparation of patient charts for office visits that involve a procedure. Contacting patient’s medical care provider to obtain copies of laboratory reports and other pertinent medical records. Greet patients when they arrive for appointments and provide them with necessary forms to complete. Contact all pateints prior to their scheduled telemedicine appointment to remind them of visit and the necessary details therein, and assist with E check-in, as needed. Schedule first trimester screening appointments when the office scheduling coordinator is unavailable. Serve as back up to schedule routine genetic counseling visits, when the scheduling coordinator is out of the office. Scanning of all documents into the electronic medical record including outside reference lab results and all first trimester screen results. Deliver specimens to Pathology Core Lab. Drop off packaged specimens to the Federal Express drop box. Faxing and/or mailing of all signed correspondence. Executing reimbursements for expenses incurred by Prenatal Genetic Counseling staff. Payment of invoices for incurred office expenses. Organize and order all office supplies.

    Other duties as assigned.

    Maintain confidentiality and discretion at all times.
Maintain a high level of accuracy, organization, and time management in order to prioritize work.

Requirements:

    High school diploma/GED required.Two years college preferred. Require minimum of one years of customer service work experience. Experience working with various software applications preferred. Additional education may substitute for some experience, to the extent permitted by the JHU equivalency formula.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
