JOB DESCRIPTION

The University of Indianapolis is accepting applications for an Administrative Assistant for the Departments of Biology, Chemistry, Mathematical Sciences, and Physics and Earth Space Science This is a full-time, non-exempt staff position. This position offers the opportunity for professional growth by engaging a truly excellent group of students and working with a collegial and supportive faculty in both undergraduate and graduate science programs. In addition to everyday administrative responsibilities (mail, photocopying, etc.), the Administrative Assistant is required to perform a broad range of tasks including managing, tracking, and reconciling both small and large budgets; managing the hiring and tracking of student employees in each department, and hiring and supervising student workers in the administrative office. The Administrative Assistant will in particular serve the needs of department chairs in the sciences (schedule management, meeting organization, interaction with other administrative units on campus, arrangements for special events, etc.). Special projects frequently arise as academic and administrative priorities change. The role often spends a significant amount of time in responding to student problems and serving as a resource to faculty regarding effective and efficient day-to-day operations.

RESPONSIBILITIES

  • Conduct everyday administrative duties such as collecting mail, photocopying, managing supplies, etc.
  • Manage, track, and reconcile both small and large budgets
  • Manage the hiring and tracking of student employees in each department, and hiring and supervising of student workers in the administrative office
  • Serve the needs of department chairs in the sciences (schedule management, meeting organization, interaction with other administrative units on campus, arrangements for special events, etc.)
  • Respond to student inquiries and challenges
  • Manage special projects as they arise
  • Serve as a resource to faculty regarding effective and efficient day-to-day operations


QUALIFICATIONS

  • High school diploma required (some college education is preferred)
  • Two years minimum experience as an administrative assistant or in a similar position is required
  • Experience in an academic environment preferred
  • The ability to create and maintain complex Microsoft Excel spreadsheets and Microsoft Word documents is required
  • Experience with at least a subset of the following is desired: databases, Google apps, ordering, inventory, budget management, and technical terminology (related to the fields of the departments this position will support)
  • The successful applicant must have excellent communication and organizational skills, and be detail oriented
  • The departments are looking for an individual who is proactive, has strong initiative, is willing to learn, is able to respond to last minute requests, and respects privacy and diversity
