UW Bothell – Advancement has an outstanding opportunity for a full-time Advancement Services Officer.

Position Purpose

The Advancement Services Officer (ASO) oversees day-to-day operations and is responsible for collaborating with the Director of Alumni Engagement to plan, manage and develop alumni engagement events, email communications, social media campaigns, mentorship activities and incentive programs for UW Bothell. In this role, the ASO reports directly to the Director and collaborates with her and a student assistant in a space of constant evaluation for the effectiveness and inclusivity of our alumni programming.

Events - 40%

Our team consists of events professionals who are eager to get the candidate in this position up to speed on the following events processes and practices:

  • Research vendors and venues, compile guest lists, manage RSVPs, arrange transportation, parking and security, select menus and purchase décor.
  • Track event expenses.
  • Work with the Marketing & Communications team and/or outside contractors to develop event related materials and publications.
  • Utilize Advance (UW’s Donor database), Cvent and Marketo to create mailing lists, create event invitations, registration pages, and follow-up communications. Training provided.
  • Design and implement methods of evaluating events for engagement outcomes and opportunities for improvement.
  • Maintain an accurate and up-to-date calendar of events and keep all UW Bothell digital calendars up to date with event information and details.
  • As assigned, advise and assist School departments and programs in the development of targeted events and activities related to alumni outreach and engagement.
  • Work with the Director of Alumni Engagement to develop programming that is inclusive and considerate of our racially diverse alumni population.

    Communications – 20%

  • In addition to event related communications, this position will provide regular create initial drafts for the Director of Alumni Engagement for broad-based and event specific emails, marketing materials, and social media campaigns, as well as proofreading and editing.
  • Will regularly brainstorm with and advise the Director of Alumni Engagement on social media campaigns that are on-trend and center equity and representation.

    Engagement and Volunteer Management - 25%

  • Serve as the first point of contact to volunteers and Alumni Council members
  • Coordinate regularly with the Alumni Council’s Executive team to determine project needs and monthly meeting agenda content
  • Support Alumni Council committee work and projects
  • Manage content, updates, membership drives and member notifications for Bothell Husky Landing - UW Bothell’s online alumni engagement and mentoring platform.

    Administrative - 10%

  • Prepare materials and agendas for internal and external meetings, including agendas for both staff and Alumni Council meetings.
  • Schedule appointments with internal and external constituents and provide meeting and calendar support, including making room reservations, setting up virtual meetings, recording meeting minutes
  • Prepare ad-hoc reports using Advance, Reportal & ReportWriter for the Alumni Engagement team.
  • Analyze reports, communicate issues, and make recommendations.
  • On rare occasion, make travel arrangements and reservations for the Alumni Engagement team. Create and assemble itineraries which include donor appointments, directions, and contact information. Assist with submitting expenses for reimbursement.
  • Provide other general administrative support for the Alumni Engagement team and/or lead other projects as assigned by the Director of Alumni Engagement.

    REQUIREMENTS
  • Bachelor's degree and 2 years of experience in events, communications, non-profit, development or related field.

    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

  • Well-developed interpersonal skills, including the ability to communicate effectively (both verbally and in writing); to listen to and respond to people from diverse backgrounds and at all levels; and to develop productive, ongoing working relationships.
  • Demonstrated strong computer skills, including proficiency with Microsoft Word, Excel, and PowerPoint for correspondence, special reports, spreadsheets, databases, forms, etc.

    CONDITIONS OF EMPLOYMENT

  • During state and UW restrictions surrounding COVID-19, this position will be required to work remotely and attend meetings virtually and on the phone.
  • Cubicle/Open workspace environment which may result in additional or higher levels of noise and visual distractions.
  • Ability to work evening and weekend hours, as necessary, on short or limited notice.
  • Must have regular and reliable transportation for local travel and willing to travel when necessary.
  • Frequent local travel expected.
