The Operations Coordinator provides functional operational support across the Office of Online Student Success, specifically relating to student records management, record keeping, and enrollment and advising processes. The position will coordinate operations around all student records processing for online degree programs through Syracuse University Global. The position will be responsible for accurate and prompt maintenance and processing of student records, adherence to academic rules, regulations, and processes, and training and coordinating other staff in the office on implementation of relevant procedures. The position is a critical member of the Online Student Success team, providing support across all aspects of the online student experience.

Qualifications

• Associates degree or equivalent required plus two (2) plus years office experience preferably in an academic environment.

Job Specific Qualifications

• This job requires knowledge of the University’s policies and procedures, Rules and Regulations, as well as School/College interpretation, and the ability to work with them all.

• This position is also required to utilize all available technology and student information platforms to include, but not limited to, Orange SUccess, Onbase, PeopleSoft, CollegeNet, and DegreeWorks.

• Problem solving skills, strong customer service skills, initiative, strong administrative skills. Demonstrated commitment to work with diverse populations.

Responsibilities

• Manage student records in PeopleSoft, Degree Works, and Orange SUccess. This includes processing applications, petitions, Intra-University Transfers (IUT’s), transfer credit, major declarations, exceptions, FERPA forms, and other student services related documents as well as maintaining physical files.

• Manage OnBase processes pertaining to student record keeping. This includes scanning and indexing application materials and processed documents, maintaining, and converting records, development of new workflows. Scan and maintain records in OnBase and Orange SUccess, and enter exceptions into DegreeWorks, while also helping colleagues navigate all systems.

• Assist in management of implementation of new projects/systems/processes/training. This includes creating and maintaining procedural manuals and training colleagues on navigation of systems and records.

• Manage content updates to student resources and staff training resources.

• Assist with student onboarding initiatives.

• Manage appropriate phone tree and general office email coverage and usage for all
Online Student Success team members. Respond promptly to office phone and email traffic.

• Manage logistics around the Voice Over IP phone system for the office.
