1. Serve as Office Manager to include: coordination of office calendar and deadlines, purchasing, inventory, and equipment maintenance. Hire, train, and supervise student employees. Determine best practices for the office.
2. Provide administrative support to the School Chair, Assistant School Chair, and Faculty to include: scheduling and supporting events; overseeing instrument and equipment inventories and check out; managing access to facilities, scheduling appointments, extracurricular use of classrooms and recital hall; creating and distributing correspondence; maintaining records; making travel arrangements; managing classroom usage during finals week each term; and assisting with special projects. Serve as resource referral person in the School Chair’s and/or Assistant School Chairs’ absence. Assist in coordinating on- and off-campus events to include in-service, luncheons, receptions, etc. Assist the School Chair and Assistant School Chairs with managing the schedule of courses each semester, including adding, deleting, changing, and managing enrollments in courses as directed.
3. Serve on the team of Office Professionals in the School of Visual and Performing Arts, who work together to accomplish the tasks listed in the position description. Under the administrative guidance of the School Chair and Assistant School Chairs, plan, document, and monitor budgets in assigned areas of SVPA . Provide financial information to the School Chair, Assistant School Chair, and Faculty regarding the status of accounts and approval of expenses. Prepare budget reports and reconciliation to the School Chair, Assistant School Chair, and others, as requested. Administer SVPA budget policies and procedures, as assigned. Monitor budgets of subordinate areas; invoice customers, and deposit revenue into appropriate account(s).
4. Function as a customer relations specialist, to include: providing information about programs in SVPA ; advising students of SVPA and UCM procedures and policies, promoting programs to prospective students; responding to written and verbal customer queries. Remain knowledgeable of changes in UCM standard office technology and be familiar with application capabilities; be able to assist students.

Associate’s degree in Office Administration, Business, or related field required.

Education may be substituted for experience or if experience may be substituted for education. Note that equivalencies are based on the following: AA = 2 years experience; BA/BS = 4 years experience; MA/MS = 6 years experience; PhD = 8 years experience

Computer Skills Word-Processing, Spreadsheet, Presentation, Desktop Publishing, Web Page Maintenance, Other - Budget management software, banner preferred, and Microsfot & Mac computer literacy. Experience

1. Three (3) years administrative support experience assisting a high-level administrator/director.
2. One (1) year budget operations, financial analysis, or accounting. Two (2) years preferred.
3. General understanding of and background in music preferred.
