The Alumni Relations Program Specialist is responsible for providing best in class customer service to alumni, members, donors, and other constituents of the Alumni Association. This includes managing the Alumni Association’s main email inbox and phone accounts, where the Specialist will serve as a one-stop solution for alumni looking for information from their alma mater. The Specialist will help alumni navigate the decentralized, complex university ecosystem and proactively problem solve and research solutions to ensure alumni experience a concierge-level service from the Association. Additionally, the Specialist will manage the front reception for the Samuel Riggs IV Alumni Center. This includes managing a staff of student interns who will serve as receptionists and help in the aforementioned duties related to email and phone inquiries, including support for the Alumni Directory. The Specialist will hire, train and manage student employees and create a culture of excellence to ensure all guests at the Riggs Alumni Center are treated as VIPs. Occasionally, the Specialist will also provide customer service and reception at off-site alumni events and programs.

The Specialist will also manage the data administrative needs for the engagement and outreach operations. This includes daily matching of records in the alumni database, pulling and preparing reports, and overseeing data hygiene projects to ensure accurate data across platforms.

Additionally, the Specialist will be responsible for general administrative assistance for engagement and outreach operations. This includes event preparation, meeting coordination, and preparing expense reports.

The Alumni Relations Specialist will utilize software applications such as MS word, excel, and G-suite products to create a variety of documents, including mail merges, spreadsheets, and graphs, to assist the engagement and outreach operations. A high degree of proficiency in these programs is required.

Occasional local travel in the DC, Maryland, Virginia area is required up to 5% of the time.
