Purpose of Position

This position is a primary support for the benefits area within HR reporting to the Benefits Director. The Benefits Coordinator serves as front-line customer service role for internal and external customers regarding the benefits related issues, and serves as support for other profession level employees within HR/Benefits.

The Benefits Coordinator is responsible for changes & benefit error corrections that will impact an employee’s pay. Timing is critical and a must in order to meet payroll processing timelines & vendor invoices for health & welfare (medical, dental, vision).

This position works closely with HRIS Business Team for all SAP enhancements that will need to be tested and working efficiently.

Primary Responsibilities

Run report daily to show New Hires, Re Hires, Terminations, and Status changes, and determine the action to be taken on each.
The Dependent Age report needs to run each month, to remove any over age dependents from insurance. This can change employee’s plans and could be costly if not controlled.

Provide letters for employees for gain or loss of coverage if needed.

Send communication to 3 year faculty who will receive additional benefits.

Maintain anytime changes to HSA’s and 403b.

Retirement ( TIAA, Deferred Compensation )
Enroll employees in correct retirement plans.
Completes Retirement Forms, address and beneficiary changes and rollover forms.
Council staff and faculty retiring.
Determine if status is NKU retiree.
Contact retiring faculty and send letters if eligible to stay on NKU’s insurance.

New Hire Orientation Faculty and Staff
Sends invitation via e-mail to attend Orientation which is held twice a month.
Provide new hires with a printed Benefit Enrollment Form & packet of information.
Observe the schedule of several presenters throughout Orientation to keep a flow.

Benefits Enrollment
Enrolls each new hire in the University paid plans.
Manual Life Insurance salary overrides for employees who are rehires & status changes
Observe the schedule of several presenters throughout Orientation to keep a flow.
Enroll new hires in SAP when unable.
Print Confirmation Form for records.

Annual Enrollment – attending meetings to help roll out any changes.
Testing in all environments to make sure Enrollment is ready.
Test support packs at the same time to support updated SAP .
Assist during the Help Center and Benefits Fair.

Maintains the Benefit Records
Filing daily, and pulling termination files ensuring data is accurate & updated.

Receives Parking Permit Report daily for payroll parking deductions starting, ending or changing.
Reconciles quarterly with Parking Office
Annual report on every employee who purchases a permit.

Manages Cobra through Chard Snyder regarding Cobra elections and notice of Payment and Terminations.

Send information to Humana, Delta Dental and Vision.

Payroll-Keeping benefits aligned with the payroll schedule.
Checking all benefits and changes against the payroll to make sure the correct deduction is taken. Correct all errors that may occur during lockdown.

Qualifications

Associate’s Degree and 3 years experience in benefits or customer service.
Acceptable equivalency: HR experience with some benefits exposure to SAP or other HRIS .

Minimum 2 years of related management experience.

Strong knowledge of Word, Excel, Power Point.

Understanding of SAP preferred.

Any candidate who is offered this position will be required to undergo a pre-employment criminal background check.
