Job Summary

Provides a variety of paraprofessional services to the Law Library Collections and Access department. This position manages the full process of ordering new library materials, communicates with vendors and publishers, processes library gifts, performs maintenance and repair of library materials, assists in administering the Law Library's digital repository, provides support for the full range of law library circulation activities, assists in oversight of the Law Library's team of circulation student assistants, fulfills interlibrary loan requests, and collects and produces statistical reports.

This is a part-time, benefits eligible position.

Description of Duties & Responsibilities

Order Management (50%)

  • Manages process for ordering of new library materials in variety of formats

  • Organizes and distributes selection tools received from various sources and adds local holdings information as needed

  • Reviews orders to be placed and checks for completeness of publishing information

  • Searches the online integrated library system for local holdings to avoid duplicate purchases

  • Assigns fund, vendor, and location codes

  • Creates order records

  • Searches for appropriate bibliographic records

  • Prepares and places orders

  • Receives materials and records receipt in online integrated library system

  • Verifies that orders are complete and claims unreceived material using the online integrated library system

  • Communicates with vendors and publishers to resolve problems with duplicate shipments, unfilled orders, unordered material, damaged shipments, and questionable invoices

  • Maintains the integrity of the order records, making changes as necessary

  • Verifies invoices and authorizes disbursement of funds. Enters invoices into online integrated library system and verifies fund codes



Access Services (25%)

  • Staffs Circulation desk as needed; acts as backup for library operations including opening and/or closing

  • Assists with oversight of the Law Library's team of circulation student assistants

  • Participates in collection maintenance activities including shelf reading, missing item searches, paging items, taking inventory, and shifting collection materials



Interlibrary Loan (10%)

  • Participates on interlibrary loan team

  • Fulfills daily interlibrary loan requests received via OCLC or RapidILL

  • Requests items via interlibrary loan and processes other document delivery requests



Gift Processing (5%)

  • Responsible for processing gift items

  • Creates an inventory of the donation

  • Checks the inventory against the library's holdings in the online integrated library system

  • Creates records for added items

  • Appropriately disposes of items not added to the collection

  • Sends acknowledgment of the donation



Digital Collections (5%)

  • Assists with the administration, processing, and maintenance of digital collection materials

  • Uploads documents, images, and other archival materials to the Law Library's institutional repository

  • Assigns metadata to digital objects



Physical Processing, Maintenance, and Repair (5%)

  • Processes materials added to the collection, including adding spine labels, property stamps, dust jacket covers, pamphlet binders, protective containers, and laminating film as needed

  • Repairs and rehouses damaged materials



Minimum Qualifications
  • High school diploma plus 6 years of directly related job experience OR Associate's degree and 4 years of directly related job experience OR Bachelor's degree and 2 years of directly related job experience.

  • 2 years Library experience

  • Familiarity with online integrated library systems

  • Demonstrated success in following through and completing projects

  • Excellent organizational skills and attention to detail

  • Ability to prioritize, multi-task, and distribute work to others

  • Ability to take initiative and ownership of projects

  • Ability to routinely and independently exercise sound judgement in making decisions

  • Strong public services orientation and the ability to work with diverse and varied user groups

  • Ability to communicate effectively in person, via telephone, and online via email, instant message, and other communication platforms

  • Familiarity with word processors, spreadsheets, and database management or financial management software

  • Ability to learn new software and hardware

  • Independent time management skills



Preferred Qualifications

  • Bachelor's degree

  • 5 years Library experience

  • Knowledge of interlibrary loan protocols

  • Familiarity with library catalogs and online integrated library systems, specifically Alma/Primo

  • Knowledge of Library of Congress call numbers and MARC21 bibliographic and holdings formats



Payrate
  • LCCSSA Grade 15 ($24.83 per hour)
