General summary/purpose:
Oversees the medical staff appointments for all credentialed faculty, postdoctoral fellows, medical staff, clinical associates, physician advisors and nurse practitioners. Interprets university and hospital policies; exercises independent judgment in resolution of credentialing duties. Serves as department liaison to the Medical Staff Office, Central Credentialing Office and JHH legal department.
Oversees the Johns Hopkins University appointments for all faculty, post-doctoral fellows, clinical associates, trainees and observers. Interprets university policies; exercises independent judgment in resolution of university appointment issues. Serves as department liaison to the Offices of the Dean, Registrar’s Office, International Services Department, JHU legal and compliance departments, Kennedy Krieger Institute, Lieber Institute, and Continuing Medical Education Office.
DUTIES AND RESPONSIBILITIES
Medical Staff Appointments:
• Oversee all aspects of
appointments and credentialing for faculty, clinical fellows,
medical staff, and others.
• Develop, implement and maintain appropriate departmental policies
and procedures related to executing the credentialing processes in
accordance with JHH and JHU School of Medicine policies, government
regulations and JCAHO guidelines.
• Create credentials-related reports for Chairman, Administrator,
departmental credentials personnel, committee chairs, departmental
credentialing committee and Professional Practice Evaluation
committee, etc.
• Educate and inform faculty and division personnel about
credentialing policies and procedures.
• Maintain existing database, automate the credentialing and
medical staff process for the department.
• Oversee the reappointment and end-provisional process for Medical
Staff.
• Coordinate and obtain information for evaluations of appointments
required for the
• Focused Professional Practice Evaluations (FPPE).
• Interpret JHH Medicine Administration, as well as faculty- and
fellow-related policies of the School of Medicine for the
Chairman’s Office, Division Chiefs, Division Administrators,
Committee Chairs, and individual Faculty and Medical Staff
members.
• Maintain and modify departmental database, integrating
appointment, credentials, historical information, etc. for all
department faculty and others.
• Maintain the electronic credentialing files.
• Maintain and create tracking processes for appointments,
promotions and medical staff appointments.
• Serve as liaison between the Department and JHH Medical Staff
Administration, the School of Medicine Dean’s Office and the JHU
Office of International Student, Faculty and Staff Services.
• Edit Department of Medicine material contained in
regularly-issued institutional directors and catalogues and
participate in the creation and revision of various
credentials-related documents used in the School of Medicine and
JHH Medical Staff Administration, as well as within the
Department.
• Oversee the completion of the malpractice insurance
report.
University Faculty Appointments:
• Oversee all aspects of
faculty, postdoctoral, trainee, diversity students and observer
appointments and reappointments. Assist in the preparation of
clinical associate contracts and related documents.
• Responsible for all faculty appointment and reappointment
paperwork submitted to the Office of the Dean, Registrar’s office,
EEO, International Office.
• Develop, implement and maintain appropriate departmental policies
and procedures related to university faculty appointments.
• Provide consultation and feedback to the departmental
Appointments and Promotions Committee. Educate and advise Bayview,
Kennedy Krieger, Lieber Institute and divisional administrators on
policy and procedures related to faculty, postdoctoral and trainee
appointments.
• Oversee the completion of the annual NSF-NIH survey.
• Solicit part-time faculty for an activity report to ensure that
the faculty appointment criteria is being met. Present findings to
the departmental Appointments and Promotions Committee.
• In conjunction with the software vendor, implement tools to track
educational requirements. Maintain the department specific report
to assist in tracking educational requirements. Assist with the
coordination and implementation of CME activities on an as-needed
basis.
• Complete faculty statistical and other types of reports requested
by the Chair of the
• Department, the Administrator and Communications and Marketing
Manager.
• Formulate the weekly departmental Appointments and Promotions
Committee agenda.
• Prepare presentation material for the Committee, document outcome
and issues presented at the meeting and complete action items
generated by the Committee and report status to the
committee.
• Maintain database and files of all faculty, postdoctoral, trainee
and observer appointment and clinical associate
personnel.
Supervision of Others: Office Clerk
Minimum
qualifications (mandatory):
• High School graduate
• 6 years’ experience
• Understanding of the credentialing process
• Strong organizational skills
• Ability to type and use Microsoft computer programs
Preferred
qualifications:
• Bachelor’s Degree
Special Knowledge, Skills, or Abilities / Competencies:
• Ability to be extremely
well organized, with careful attention to detail and follow
up.
• Strong oral and written communication skills.
• Strong interpersonal skills with the ability to interact with all
levels of faculty and staff.
• Knowledge of computer programming, particularly in the
development and implementation of databases.
• Ability to manage a number of demanding projects
simultaneously.
• Word, Excel, Databases, and Power Point skills.
• Copier, scanner, and printer
