Job Responsibilities:

The Citadel, The Military College of South Carolina is seeking an Administrative Assistant (Admin) who will work directly with the Department Heads, of the Chemistry Department and the Swain Department of Nursing. The Admin will maintain and sustain business processes of the departments, serves as the initial point of contact for potential students/parents seeking information about the chemistry and nursing programs, schedules appointments for the Department Heads as needed, and maintains the Departmental Web sites and other promotional and informational materials. The successful candidate must be detailed oriented and highly organized, able to maintain assessment data used for accrediting bodies, maintain up-to-date faculty and student records as required by clinical partners and accreditation requirements. The Admin supports faculty in a variety ways that include but are not limited to; scheduling classes, purchasing supplies and equipment, assisting with required course materials as needed, etc.

The Admin communicates directly with students regarding graduation requirements and/or clinical compliance requirements and refers these students to the Department Heads as needed. The Admin assists with travel arrangements for faculty and students to professional conferences and assists with financial reimbursement after the conference is concluded. The Admin makes arrangements for on-campus meetings and conferences, assists the Department Heads in building course schedules, coordinates the logistics of search committees and the on-boarding of new hires, maintains records of agency articulation/affiliation agreements, maintains a list of current textbooks for each class in each department and a list of publisher representatives and other duties as needed. The Admin must maintain expertise in using office equipment and appropriate current software; follow-up on contacts; make and monitor appointments; utilize the various systems such as Banner, SOS, EMS, KRONOS, and PCS; maintain and update all departmental files; maintain the copier; accept, sort, and deliver mail and incoming packages; travel to pick up awards for various ceremonies. Assist with ordering supplies and equipment for labs as well as arranging scheduled preventive maintenance and unscheduled maintenance on laboratory equipment.

Minimum Required Qualifications:

Must have a Bachelor's degree. Expertise in web management, Microsoft Office and Excel are essential. Position may require some evening or weekend work on occasions must be able to have some flexibility.

Preferred Qualifications:

Previous experience as an Administrative Assistant in higher education for an accredited program. Experience with Banner systems.
