Purpose of Position

Provision of administrative support to Vice President for Enrollment and Degree Management; and as necessary, Assistant Vice Presidents, and Enrollment and Degree Management Departments

Primary Responsibilities

Office support for Vice President, and as necessary Assistant Vice Presidents and departments
– maintain calendars
– generating electronic/hard copy correspondence
– facilitate travel arrangements
– travel requests
– travel expenses
– reconcile purchasing card accounts
– generate reports/presentations
Staff support
- EDM Directors Meeting:
– coordinate monthly meetings
– compile agenda/meeting materials
– transcribe notes
– faciltiate follow up on discussion items/projects
– maintain shared folders
- Special initiatives (as necessary)
– coordinate on campus meetings/focus groups
– facilitate information exchange (electronic, verbal, hard document)
– coordinate meetings
– compile agenda/meeting materials
– transcribe notes
– faciltiate follow up on discussion items/projects
Operational processes for organizational unit as necessary
- Process
– JAQs
– PARs
– purchase requisitions
– travel authorization and expense forms
– work orders
- Maintain supply inventory for EDM area
Budget
- Support VP and AVPs in monitoring area budgets:
– Enrollment/Degree Management
– Monitor budgets/create reports for EDM Departments
- Process org unit budget transfers
- Troubleshoot org unit budget issues

Qualifications

1) Associate Degree and minimum 4 years experience required;

2) Strong writing and analytical skills;

3) Demonstrated ability in project management, executive office protocols and processes;

4) Thorough knowledge of Microsoft Office: Word, Excel, Power Point;

5) Facility with HR and FI components in SAP
