Records Processing Asst-ADMRC - 999338

Ensures compliance of academic records disposition in accordance with university policy and state law. Posts all non-traditional courses and grades, e.g., advanced standing exams, military credit, and correspondence work, for which the student has received credit into automated records. Validates on-line records by comparing with hard copy; makes corrections as needed. Updates students' records by comparing with hard copy; makes corrections as needed. Updates students' records as needed, i.e., grade point averages, grade changes, classifications, repeats, etc. Provides excellent customer service to students and staff. Communicates with students regarding grade changes, advanced standing credit, and an application of repeat policy. Manages semester and annual reports, including Regents Reprieve, Clearinghouse data, and Honor Roll. Rolls irregular sections grades. Assists with training of new Student Records employees, including full-time, part-time, and student staff. Manages CLEP and AP posting processes. Assists with the probation and suspension mailing process at the end of each term. Approves/disapproves academic reprieves and turns in yearly report. Organizes Emergency Withdrawal process, updates records based on decisions made, and relays pertinent information to Financial Aid. Scans and commits all related documents to the data management system. Performs other duties as assigned.

Qualifications

Qualifications/Experience Required:

Performs administrative or manual tasks. Requires general education or vocational training or equivalent combination of education and experience.

Qualifications/Experience Preferred :

High school diploma or equivalent preferred. Some college preferred. Data entry experience preferred

Knowledge/Skills/Abilities:

Ability to listen and follow instructions; Ability to work with others in team environment; Read and comprehend instructions; Demonstrate respect in interactions; Honesty and Integrity. Excellent public relations, communications (both oral and written) and organizational skills. Familiarity with computer software programs. Must demonstrate a warm and caring professional attitude along with phone etiquette protocol. Ability to relate effectively to a diverse student population as well as to various members of the higher education community. Ability to perform duties effectively, efficiently, accurately and prioritize multiple assignments. Ability to effectively work during extremely busy and stressful periods. Good records management skills. Good supervisory and computer skills. Ability to maintain confidential information and work effectively as part of a team. Must be detail-oriented. Ability to use office machines and equipment pertinent to the efficient and effective operation of the office. Ability to listen and synthesize directives.
