Administrative Assistant II-Criminal Justice
Provide logistical and administrative support for one or several department professionals or offices. Responsible for the functioning of a professional office or department. Initiates and handles correspondence relating to a department or program. Performs a variety of sorting and filing tasks; answers the phone, takes messages, and disseminates information; opens, sorts, distributes, collects, and delivers mail; performs a number of tasks such as posting and recording data. Responds to students, university personnel and the public in a cordial, courteous manner, and coordinates operations in the office. Greets and screens visitors. May make contacts of a sensitive, complex, and confidential nature. Responsible for providing various services to customers such as assisting customers in securing needed information and documents.
Department Specific Essential Job Functions:
Write reports and other published documents of various levels of complexity, ranging from plain copy typing to the manipulation of data to create presentations. Responsible for research, collection, collation, and analysis of information from various sources to include interpretation of patterns and trends. Provide professional research and analytic services to agencies in support of collaboration between the UCO School of Criminal Justice and the law enforcement/criminal justice community. Maintains various files and records, both physical and electronic, in accordance with internal procedures. May supervise/mentor student interns under the direction of the CIS Coordinator. Assist student interns in research and development of criminal justice related skills. Responsible for timecards for the CIS student interns following appropriate procedures. Attends office and departmental meetings and take notes as assigned by the CIS Coordinator. Performs all other related duties as assigned.
Scope & Impact: This position is an intermediate level position responsible for providing a variety of clerical/administrative support, or manual labor, tasks for an office or department. This position may have minor to moderate impact on operations of multiple work areas.
Communication & Interaction : Routinely answers questions and provides information and data requested by individuals within or outside of work area.
Effective Knowledge: Demonstrates ability to operate independently with intermittent supervision for day to day operations.
Problem Solving & Judgement : The job consists of repetitive manual tasks that are covered by specific procedures or close supervision.
Policy & Procedure Authority: Primarily responsible for applying organizational policies and procedures and/or determining appropriate process to follow.
Reporting Relationships : Generally supports a manager or director-level leader, or a specific activity or function, and reports to a senior level administrative professional.
Performs administrative or manual tasks. Typically requires general education or vocational training and 2+ years’ relevant experience in chosen field or equivalent combination of education and experience.
Requires two years of college and two years of experience in office management or equivalent combination of education and experience
